We are looking for a Director of Production for our State-of-the-art Dental Practice in the financial District of San Francisco, easily accessible with public transportation.
Candidate must have 4 year college degree in business, marketing, finance, or accounting. Previous experience as an operations manager is preferred. Looking for an enthusiastic operations manager who will ensure accountability and train employees in all aspects of running a dental practice in order to optimize increased patient flow and patient satisfaction. The successful candidate will demonstrate the ability to lead a Team and help maintain and improve patient relations and treatment delivery effectiveness. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.
A successful Director of Production must have experience with a variety of office software (email tools, spreadsheets and databases), including dental software and terminology and be able to accurately handle administrative duties. Ultimately, the operations manager should be able to ensure the smooth running of the office and help to improve company policies, procedures and day-to-day operations. May need to work after hours as business needs arise.
Responsibilities and Accountability
- Oversite management of Daily Scheduling to meet production goals, Daily Collections to meet collection goals and minimize Financial Arrangements
- Oversite Management of all staff and implement best practices for achieving KPI's (Key Performance Indicators)
- Partner with office HR attorney to update and maintain office policies as necessary
- Optimize office operations and procedures
- Coordinate with IT department on all office equipment if you are absolutely not able to fix it
- Manage office General and Administrative budget, ensure accurate and timely reporting
- Assist Office Manager in the onboarding process for new hires
- Hold Office Manager accountable for addressing employees queries regarding office management issues (e.g. training, write-ups, overtime, emails, texts, patient issues)
- Liaise with facility management vendors, including cleaning, catering and security services
- Plan in-house or off-site activities, like parties, celebrations and conferences
- Improve and maintain a positive office culture to build team morale
- Help Office Manager manage the dental team
- Coordinate dental management meetings
- Improve decision making, planning, and problem-solving
Conflict resolution and management
- Meet or exceed targets through implementation and set action plans as needed
- Establish and monitor compliance with established policies
- Provide seamless collaboration between human Resources, marketing and finance department
- Implement and monitor all marketing for the business including Facebook, Instagram, website, SEO, ZocDoc, word of mouth referrals, and have spreadsheet to present to owner on a weekly basis
- Responsible for timely reporting of workers or patient related incidents
- Stays current and complies with state and federal regulations and statutes
- Makes sure that Office Manager monitors and ensures all certifications and/or licenses are up-to-date and valid prior to expiration dates.
- Completes all company mandatory modules (ie. OSHA and Infection Control updates; Sexual Harassment updates, etc.) and required job-specific training in the specified time frame.
Skills
- Proven experience as a Dental Office manager or Front office manager preferred
- Previous Dental Experience is a must
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
- College degree; additional qualification as an Administrative assistant, Hospitality industry or Secretary will be a plus
- A coachable spirit
- Ability to supervise, lead, develop, and coach staff
- Collaborate with multiple departments to improve result
- Ability to make good decisions within assigned scope of authority
- Ability to manage and control variable expenses
- Strong dental business knowledge

Job Type: Full-time
Pay: $75,000.00 - $85,000.00 per year
