Ronald McDonald House Charities, Upper Midwest (RMHC-UM) in partnership with our community, provides a comfortable and caring home-away-from-home that supports keeping families together and reduces stress during a child’s serious illness or injury. RMHC-UM operates five locations in Minnesota---four in the Twin Cities and one in Duluth, and provides complimentary lodging, meals and support to thousands of families every year.
Job Summary
The Development Assistant will provide essential tasks related to fundraising, community engagement and administrative support for RMHC-UM. Specifically, the incumbent is a critical member of the Development Team and offers important backing for Signature Events and special campaigns.
The incumbent will represent the organization via in-person, verbal and written communications. Engagement with staff across various departments along with volunteers and the general public is an exciting component of the position. In addition to supporting core fundraising tasks related and seeing projects through, the Development Assistant will serve as an organizational administrative lead, having some responsibility to support the front desk- answering the phones, providing necessary information, processing the intake of donations and processing mail.
The Development Assistant bring significant energy and value related to the RMHC-UM signature events with the core function of the role being spent on systematically building and staging (online and in person) silent auctions and ensuring a successful donor fulfilment process.
Primary Responsibilities
Development
- Provide lead support for 5 Signature Events- Golf Classic, Brew Love, Brew love North, RBC Race for the Kids, and Gala, Silent auction preparation including solicitation of items, drafting item sales description, ensuring both online and in-person displays are accurate and leading the distribution of purchased packages
- Communications with event participants
- Provide support for registration and check out
- Management of event volunteers leading up to, day-of and for event wrap up: specifically leading the organization of auction and event supply load in and load out
- Steward relationships and manage fundraising tasks by working in various platforms, systems and databases:
- Greater Giving, our online auction software
Raisers Edge, our donor database TeamRaiser, our Peer to Peer/RBC Race for the Kids Platform
VolunteerHub, our Volunteer database
- Maintain Development storage spaces; organize and track on and off-site inventory
- Provide communication and stewardship to donors– of all levels and types
- Provide support for special campaigns and third-party fundraisers
Admin
- Work collaboratively with other departments to accept and process monetary and in-kind contributions
- Provide efficient and effective communication to achieve cross-departmental synergy; department examples include Finance, Volunteer, Family Services, Facilities
- Update donor information in the database
- Support front desk coverage, opening and sorting mail, greeting guests
Volunteer Relations
- Coordinate and manage volunteers for house projects, community efforts and special events
- Event support volunteers
- Auction solicitation and preparation volunteers
- Coordinate and manage administrative volunteers
Programs
- Support family service communications such as digital signage, meal deliveries, etc.
- Assist families with daily needs
Expected Hours of Work
This is a 40-hour, full-time position and hours of work are generally Monday-Friday. Hours are 9am-5pm except as some nights and weekend shift needs arise. Nights and weekends are expected, particularly through the seasonality of RMHC-UM’s Signature Events and large third-party Community Fundraiser event schedule.
Work Environment
Ronald McDonald House Charities, Upper Midwest operates programs within three pediatric hospitals in Minneapolis and St. Paul and one in Duluth, MN. Programs provide services to families who have children receiving inpatient treatment in the hospital.
Preferred Education and Experience
- Bachelor’s degree preferred
- Experience working in a nonprofit organization and management of volunteers a plus
- High tolerance for multi-tasking and interruptions; enjoy fast past environment of constant change
- Desire and ability to work well as a team player and provide excellent customer service; while also having strong appreciation for being organized and independently seeing tasks through
- Professional, engaging presence and communication skills (verbal, written and in person) – welcoming, accepting and grateful acknowledgment of the diverse community that makes the RMHC-UM mission possible
- Ability to resolve interpersonal conflicts and willingness to ask for clarification or help
- Ability to constantly operate a computer and other office productivity machinery such as a phone, copy machine, computer and printer
- Experience with or ability to learn software to ensure efficient and effective event and time management
