SUMMARY OF POSITION
:
Under the guidance of the Senior Director, Curatorial Affairs, the Department Assistant provides critical support for the smooth day-to-day operation of the Curatorial Department and coordinates activities with Guggenheim staff and/or external entities as needed.

POSITION TYPE : : :Full-time, Non-Exempt, This position will become a position covered by a Collective Bargaining Agreement with Local 2110 UAW.
SALARY RANGE : : $45,000 - $48,000 annually :

SKILL AND EXPERIENCE REQUIREMENTS :
- At least two years administrative experience relevant to the position, or equivalent.
- Background in art history and demonstrated interest in the museum profession preferred.
- Excellent communication and organizational skills.
- Ability to take direction and work as part of a team.
- Flexibility and the ability to adapt to changing priorities.
- Professional demeanor and diplomatic skills required.
- Excellent attention to detail with ability to handle multiple projects in a fast-paced environment a must.
- Ability to be proactive, use independent judgment and initiative.
- Pleasant phone manner.
- Must exercise good judgment and discretion.
- Proficiency in Microsoft Office Suite, Adobe, Internet research, and other standard office procedures and equipment.
Duties may include, but are not limited to, the following:
- Respond to general departmental inquiries from external and internal parties and direct to appropriate staff member, if necessary.
- Manage departmental correspondence, including responses to incoming exhibition proposals, gift and purchase offers, and unsolicited mail from artists.
- Manage and order office supplies and distributed materials for department.
- Assist with general organization and upkeep of office space.
- Provide administrative support for senior curatorial staff, including scheduling meetings, creating PowerPoint presentations, assisting with travel arrangements, and processing invoices and expense reports.
- Schedule departmental meetings and manage Curatorial Zoom account. Coordinate with Assistant to Chief Curator, as needed.
- Distribute departmental agendas and communications. Prepare and distribute minutes for select departmental meetings, as needed.
- Maintain department calendar of recurring meetings and staff travel.
- Maintain department’s contacts database.
- Liaison with Advancement and Visitor Experience regarding Artist Memberships.
- Coordinate and prepare curatorial materials for the Board of Trustees, including agenda for Art & Museum Committee (A&M) meetings, reports, and PowerPoint presentations; assemble loan and acquisition ballots and supplement materials; coordinate prep meetings; liaise with Manager, Board Affairs; and draft talking points for A&M chair.
- On occasion, assist other departments with aspects related to the curatorial department, for example, gathering The Museum System (TMS) checklists and images for Advancement and Communications, obtaining art fair passes for curators, providing information to Finance for tax reporting, etc.
- Coordinate and prepare materials for interdepartmental meetings, as needed.
- Act as department liaison for Artifax (museum-wide scheduling system) and, on occasion, coordinate exhibition tours.
- Provide support for regular Curatorial programming, such as the annual Rebay and Rosenblum lectures.
- Update website and intranet in regards to curatorial department information.
- Occasional research and writing
WORK DEMANDS & ENVIRONMENT : : :
- Ability to travel within the metropolitan area as required to perform the above duties at any of the Guggenheim’s owned or leased properties upon request.
- Ability to work nights, weekends, and holidays on occasion.
- Ability to lift at least 25 lbs.
