Database Information Specialist Job at The Family Place
Location: Home Base: Ann Moody Place, Sallys House, and all scattered site locations as needed.
Hours: Monday through Friday, 9:00 AM to 5:00 PM
Position Summary: This position is responsible for the administrative and operational responsibility over agency data relating to clients, which includes data that is internal and external to the agency database. Responsible for data related grant reporting and monitoring program outcomes and outputs. Responsible for analyzing data, identifying gaps and proposing solutions to programmatic data related issues. Responsible for the exporting of data in response to internal and external requests. Overall management of agency wide data including the collection of data, data integrity and efficiency.
Key Responsibilities:
Monitors data entry errors in the agency database and recommend/implement enhanced data and system controls (data correction, error log, error reviews)
Maintains and manages organizations statistical information and identifies specific information needed for statistical reports; provides statistical data for staff as needed for funding sources.
Drives system improvements by studying current practices and implementing/adopting new system features
Applies statistical theories, techniques, and methods to gather, analyze, interpret, and/or report quantified information.
Develops day to day operational knowledge of TFP programs to inform data related decisions. Uses this knowledge to build out programs into database, to analyze outputs for accuracy and to optimize agency usage of the database.
Maintains and administers client tracking system; responsible for database integrity and problem solving; provides data and reports to funders, when necessary.
Works with users to determine requirements and design for database related system changes.
Responsible for coordination and oversight of the Annual Census Bureau data collection and information submission.
Responsible for oversight of agency participation in the annual Continuum of Care Homeless Count.
Collects data related to the outcomes for all funder reports and annual agency reports; provides statistical information for grant reporting for all grants as required.
Responsible for creating and implementing in person, onsite training program to onboard new staff members
Responsible for non-data related tracking systems that support programmatic operations such as monthly client stories, client surveys and clinic support.
Monitors and maintains a system to track grant targets and outcomes and communicates clear objectives and target deadlines with agency staff utilizing grant funds.
Responsible for Agency Annual Report development and presentation to the Senior Leadership Team.
Responsible for responding to records requests from county or district courts, client or medical records requests, etc.
Works with the Development Team, Finance Team and Human Resources to timely provide data as needed.
Other Duties: Performs other job-related duties as assigned.
Bachelors degree is required in social services and coursework related to statistical analysis or program data collection is preferred, with a minimum three years of statistical theories, methods, and techniques. Masters degree preferred, but not required.
Licenses and Certifications:
Valid Texas Drivers License
Notary License or able to obtain license in 30 days
Knowledge, Skills and Abilities:
Knowledge and experience with agency data, statistics and reporting.
Ability to present statistical data to consumers with little or no knowledge of technical matters.
Ability to relay data in an understandable manner is key.
Ability to travel to various satellite offices.
Ability to communicate effectively with staff, clients, and the public.
Ability to multi-task, be flexible and maintain a positive work environment.
Ability to communicate effectively both written and orally and adapt style to fit different audiences. Ability to facilitate presentations, exchange and receive
Ability to present information in a professional manner.
The ability to work well and collaborate with others is imperative to the success of this position.
Ability to apply statistical expertise to problems, problem solving and quality focus
Proficient in Microsoft Word, PowerPoint Outlook and Excel
Knowledge of Salesforce or similar software is a plus
Excellent interpersonal communication skills.
Mental and Physical Abilities: Ability to sit, work on computer and answer phones at least 8 hours per day; ability to lift to 35 pounds and stand, walk, stoop, speak and listen; ability to drive agency vehicle and follow driving laws and keep passengers safe.
Working Conditions: Duties are usually performed seated with occasional periods of standing or walking. Limited physical effort is required associated with lifting and carrying objects (less than 35 lbs). Work may be performed but is not limited to an office environment.
Work Location: Work must be performed at the office or satellite offices due to client confidentiality.
