Position Location: Houston, Texas, USA
We are currently recruiting for Customer Service Specialist, entry-level and experienced work in our Houston, TX office. This position reports to the Customer Service Manager. This position offer flexible working hours to include one extra day off a month - called a 19/30.
Purpose of Job
Manage customer orders and make product delivery commitments with customer service excellence. You will actively participate to improve process efficiencies and performance. Interact with sales, plant warehouses, forwarders, logistics, treasury, supply chain, operations, Planning and Optimization, accounting and SHE personnel as needed to provide customer’s on-time, in-spec delivery of product, documentation and service.
Key Accountabilities
- Manage domestic and international orders from order to cash; ensuring accurate and timely processing of orders in SAP, accurate posting of shipments when applicable as well as invoice accuracy
- Establish and maintain contact with customers. Respond to incoming customer inquiries on order specifics and assist with general information (list price quotes, new products, product availability, etc.)
- Utilize proactive and/or reactive approach to prevent, correct and inform customers on events that could result in non-conformances
- Maintain current information on Customer Master Data in SAP and complete customer files for historical documentation
- Maintain a daily desk routine including the monitoring of reports to ensure orders are clean and have deliveries, shipments are on time and invoices are generated
- Manage and reconcile inventory at various locations as needed
- Provide data to other functional areas as needed (order information, inventory levels, customer historical data, transit times, freight costs, etc.)
- Obtain freight quotes and review freight bills when received to confirm accuracy
- Support month-end closing process
- Work with credit, sales and customers on the collection of delinquent invoices
- Provide backup coverage for other CSS desks, occasionally includes afterhours or weekends but not often
- Comply with the Quality Management System requirements
- Manage complex accounts (Key, Consignment, monthly billing, consolidated billing, etc.)
- Develop and work to implement ideas targeted to streamline existing processes
- Future opportunities to mentor, train new and existing team members
Formal Education
- Bachelor’s Degree or non-degreed candidates must have equivalent to 3 years of related customer service and logistics experience in oil & gas or chemical industry
Required Personal and Professional Skills
- Professional communication, attention to detail, ability to multi-task and organizational skills
- Build relationships with customers and promote good customer relations
- Ability to interact professionally with a wide variety of disciplines (i.e. Manufacturing, R&D, P&O, Supply Chain, Accounting, etc.)
- Good software skills (Word, Excel, Outlook, etc.)
- A good understanding of all the functions in the SAP SD module preferred
- Knowledge of international shipping preferred
- Fluent in both English and Spanish preferred
