The expected ENTRY pay range for this position based on experience and equity within the Judicial Branch is $19.00 to $23.75.
This position is non-exempt under the FLSA.

About the Position
The Courtroom Assistant (Floater/High Volume Intake Assistant) provides coordination of courtroom proceedings and performs a variety of specialized legal clerical support duties related to the high volume, fast-paced operations of Probate/Mental Health Court divisions. The primary focus of this position is to provide assistance with the intake of documents, virtual and in-person hearings, and ensure hearing readiness in Probate/Mental Health Court divisions.

POSITION QUALIFICATIONS

Education:
- High School diploma or GED
Experience:
- Two (2) years of progressively responsible administrative experience, preferably in a court or legal environment, or other experience that would demonstrate possession of the required knowledge and abilities
OR
Combined education and experience qualifications:
- An equivalent combination of post-secondary education may substitute on a year-for-year basis.
Other Requirements:
- Must possess and maintain a valid Arizona Driver’s License at the time of hire.
Our Preferred Candidate has:
- Bilingual skills in Spanish/English
- Experience within a courtroom environment; maintaining order and integrity of the court process
- Experience with Microsoft Outlook, Microsoft Word, iCIS, multi-line telephone systems, and copy machine

ESSENTIAL JOB TASKS

- Prepares files for the court, reviews files for missing information and court readiness, reviews motions for accuracy and compliance with rules of procedure, and contacts parties for missing information
- Aids parties connecting virtually, telephonically, and in-person to courtroom proceedings
- Interacts directly with the public, jurors, attorneys, case managers, court staff, outside agency staff, court interpreters, MCSO deputies, and court security
- Assists litigants, witnesses, and attorneys during proceedings, including monitoring exhibits for admission prior to publishing to the jury using e-courtroom equipment
- Prepares e-courtroom equipment (digital FTR recorder, white noise machine, and electronic presentation) for use during hearings; coordinates the use of and runs equipment during hearings and troubleshoots technical issues
- Utilizes court system (iCIS) check-in and printed calendar to determine whether case parties are present, distributes the court calendar, obtains additional information/documents needed for court from litigants, calls all parties into the courtroom, communicates cases called with courtroom clerk and the Judicial Officer
- Assists with case processing, setting hearings, and providing hearing dates during court proceedings
- Performs critical data entry of hearing outcomes and results into the court system (iCIS) in real time in order to maintain updated data, modify existing records, or initiate court ordered actions
- Utilizes court database systems to complete final upload of documents into court docket
- Works collaboratively with other divisions to help in times of need, emergency situations, and as scheduled
- Provides back-up coverage of Judicial Assistant duties at the direction of Probate Department Administration
- Assists the Judicial Officer and Judicial Assistant with the calendar & other assignments as directed by the Probate Department Administration

While performing the duties of this job, the employee is regularly required to speak clearly and hear; see details of objects that are less than a few feet away; sit for long periods of time; stand, walk, use hands to finger handle or feel; reach with hands and arms; and occasionally push, pull or lift up to 20 pounds. Must be able to travel to any Superior Court location (Downtown, Southeast Regional - Mesa, and Northeast Regional – North Phoenix, Northwest Regional- Surprise) for coverage assignments as directed by Probate Court Administration based on the needs of the department. These assignments may be of varied duration (i.e. from a few days or a week to several months).

Typically, successful candidates are hired at a salary rate up to the midpoint of the range, based on applicable experience, internal equity, and budgetary allowances.
