The expected ENTRY pay range for this position based on experience and equity within the Judicial Branch is $18.50 to $20.38.

This position is non-exempt under the FLSA.

About the Position
The Court Administration Assistant provides administrative support to the CASA of Maricopa County program in a high-volume work environment that requires the ability to multi-task, strong organizational and communication skills to provide exemplary customer service, both internally and externally, to ensure that dependent children receive vigorous advocacy with respect to their case plan, services, placement, and all other needs.

Standard Judicial Branch business hours are Monday through Friday from 8 am to 5 pm. This position may allow for a hybrid office/telework schedule dependent on the needs of the Judicial Branch.

POSITION QUALIFICATIONS

Education:
  • High School diploma or GED
Experience:
  • Two (2) years of general clerical or administrative experience
OR
Combined education and experience qualifications:
  • Post-secondary education may substitute for the experience requirement on a year-for-year basis
Knowledge, skills, and abilities:
Knowledge of:
  • Principles and processes for providing customer service including customer needs assessment, meeting quality standards for services and evaluation of customer satisfaction
Skill in:
  • The use of computer applications, preferably Office 365 (Word, Excel, Outlook, OneDrive and SharePoint)
  • Written and verbal communication with others to convey information effectively
  • Providing exemplary customer service
Ability to:
  • Learn policies, procedures, and guidelines established by the Court
  • Multitask and cope with high volume and a time sensitive work environment
  • Establish and maintain working relationships with others
  • Understand and accurately brief oral and written instructions
  • Make sound decisions in accordance with regulations, policies, and procedures
  • Work well in a team environment
  • Learn software and technology
ESSENTIAL JOB TASKS
(This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned.)
  • Process mail, answer phones, perform data entry, process court orders, and respond to email requests
  • Schedule both initial and in-service trainings, CASA applicant interviews, and create virtual meetings, as needed
  • Ensure that CASA volunteers are certified and recertified in a timely manner
  • Ensure all case files and volunteer files are accurate and current
  • Maintain strict confidentiality of case and volunteer records
  • Successfully navigate multiple data information systems and websites, ensuring information is accurately reported
  • Deliver exemplary customer service to all parties related to or inquiring about the CASA of Maricopa County Program
  • Compile and provide required documentation and statistics for monthly, quarterly, and annual reports
  • Actively ensure program adherence to CASA Program administrative policies and compliance with Maricopa County Juvenile Court, National CASA, and Administrative Office of the Court (AOC) policies and procedures
  • Participate in staff meetings, volunteer events, and strategic planning sessions
  • Assist with projects as needed
Working conditions:
Work occurs in an office setting but may allow for a telework or hybrid schedule depending on the needs of the CASA program. While performing the duties of this job, the employee is regularly required to speak clearly and hear; see details of objects that are less than a few feet away; sit for long periods of time; stand, walk, use hands to finger handle or feel; reach with hands and arms; and occasionally push, pull or lift up to 20 pounds.
