Now hiring for a Full-Time Corporate Administrative Assistant. This position would assist the President/CEO in the handling of all business services necessary for the efficient operation of Fairport Baptist Homes Corporation and its affiliated operations.
Essential Job Functions Include:
- Keeper of the Corporate Records and documents. Coordination of policies and procedures within the facility. Also, uploading and maintaining the database.
- Maintain and upload New York State Grants Gateway documents for Compliance.
- Credentialing for new medical staff.
- Recorder and scheduler for Board meetings, Board Committees, Corporate meetings and Board Task Forces. Sends all Board mailings.
- Coordinate and recorder for QAPI meeting.
- Responsible for annual emergency stop over agreement.
- Maintain and organize corporate contracts and business associate agreements.
- Will provide clerical support for the human resources department.
- Coordinates all in-house events.
- Makes travel arrangements as requested.
- Manages all correspondence.
- Approves new vendors following FBH’s policies. Will also coordinate exclusion approvals for vendors.
- Condolence letter communication to families. General communication, as requested, to the resident’s family.
- Maintenance of onsite postage machine, including adding postage, and obtaining supplies as needed. Also, sort and process daily business mail.
- Responsible for coordination of copiers and printer repairs as needed. Monitor and distribute faxes from Homes’ main fax line.
- Perform appropriate tasks as requested by President/CEO.
- Work closely with all staff to uphold and further the Mission, Vision, and Values of FBH. Be creative and have fun. Be a cooperative and team player to ensure the needs of our Residents are met.
Requirements
Educational: Minimum Associates' degree in a related field.
Experience: Minimum Five years of corporate Administrative Assistant experience.
Qualifications:
- Must have SharePoint experience.
- Proficient in Microsoft Word, Excel, PowerPoint, office suite, adobe acrobat PDF, electronic filing and backup, etc.
- Strong interpersonal skills
- Must be highly organized
- Must be able to work independently
