General Purpose of Position
The Coordinator of Special Populations is responsible for the application processing and maintaining applicant information with a concentration in all special undergraduate applicants to Elon including transfer, international, special, spring first year, re-admit, non-degree seeking, collegiate start, athletes, and Tuition Exchange. This position will communicate with applicants, external education institutions, and different campus partners to achieve successful processing of applications. This position directly supervises and participates in the training of student staff to process special population applications.
Essential Duties and Responsibilities
Undergraduate Application Processing
- Process student application information within special applications population and specified domestic territory, including but not limited to collecting materials, transcribing transcripts, attaching documents, cleaning up records from error reports, and adding notations to records as needed
- Coordinate timely completion of awaiting materials check which includes the additional task of adding contact information for student conduct forms and verifying English proficient test scores
- Serves as liaison to different campus partners including Director of Transfer and Special Admissions, International Admissions team, Collegiate Start Coordinator, Athletic Compliance team, and Tuition Exchange Admissions & Financial Aid Committee
- Ensure proper scanning and indexing of application materials
- Process assigned territories and update records using error reports
- Responds to inquiries and investigates/resolves problems related to application documents
- Supports applicants, parents, external education institutions, and internal admissions staff on the telephone and online
Student Management
- Recruit, hire and supervise 1-2 student staff members to support the application process from beginning to end
- Plan and facilitate orientation for student staff
- Establish expectations and standards of behavior for student employees
- Develop and update training manuals for student staff
- Plan and schedule training process for all aspects of the application processes and procedures
- Maintain record of student trainings and skills
- Assign daily tasks to student staff and monitor the completion of assignments
- Evaluate performance and provide feedback and coaching
Backup/Support
- Serve as backup for other records functions as needed
- Phone and desk coverage as needed at other desks in Admissions
- Weekend staff coverage for Admissions Welcome Center (quarterly)
- Supports admissions and university events
