Job Description Summary

The Graduate School seeks a Coordinator of Graduate Degree Services. The coordinator will provide exceptional customer service to graduate students, faculty, and staff in support of students’ degree attainment. The coordinator will work cooperatively with Graduate School staff to maintain accurate student and program records, continuously improve Graduate School services, and provide professional and compassionate assistance to our graduate students, faculty and staff.

Essential Duties & Responsibilities (other duties may be assigned)

  • Maintain and update graduate student records with accuracy.
  • Maintain confidentiality of all student records and interactions.
  • Interpret, apply, recommend, and write University policies.
  • Evaluate new graduate program proposals to ensure compliance with Graduate School degree requirements.
  • Maintain and update graduate faculty records, including overseeing the annual review process.
  • Maintain and update curricular records for graduate programs, including overseeing the annual review process.
  • Serve on the commencement committee and coordinate the Graduate School’s activities related to commencement.
  • Evaluate student records to ensure they have completed degree requirements and award graduate student degrees.
  • Participate in and lead development of new processes to streamline Graduate School procedures in collaboration with EAS and others.
  • Determine the requirements for necessary reports to track graduate student progress.
  • Provide and analyze data related to graduate students and graduate programs.
  • Provide back-up support for essential student processes.
  • Manage soliciting for and awarding of the Dean’s Award for Outstanding Scholarship and Outstanding Graduate Student Teaching Award.
  • Apply safety-related knowledge, skills, and practices to everyday work.
  • Commit to learning about continuous improvement strategies and applying them to everyday work. Actively engage in University continuous improvement initiatives.
  • Other duties as assigned.

Required Education, Certifications, Licensures (minimum requirements)

  • Bachelor’s degree or equivalent education, training, and experience from which comparable skills can be acquired.

Required Experience (minimum requirements)

  • Five years office/clerical experience.
  • Five years experience using personal computers including Microsoft Word and Excel.
  • Two years of customer service experience.
  • Experience using a database (such as Banner) to update records.
  • Experience using a query tool (such as WebFocus) to gather and analyze data.

Desirable Education and/or Experience

  • Experience working in a post-secondary educational environment.
  • Experience updating websites.
  • Experience with Banner, WebFocus, uAchieve, and ASPIRE.
  • Experience working with graduate students.
  • Experience working with people from multiple countries and cultures.
