Position Description & Details
As our Operations Coordinator, you will be primarily responsible for executing the logistical details of our non-credit open enrollment programs, conference management services, and assisting our customers as a member of the front office support team.

Assist with the administrative details of the department – 35%
Manages and coordinates open enrollment program logistics. Attends to logistical details and other project management responsibilities in the delivery of training (including but not limited to class promotion, food orders, facility requests, confirming class materials, office support), utilizing technology where needed. Coordinate conference logistics by scheduling meetings, reserving facilities, and attending conference meetings to record meeting minutes. Act as liaison to conference presenters, collect presenter/presentation information and needs, prepare presenter contracts, and monitor their return, prepare, and distribute final details. Attend conferences to coordinate onsite logistics, setup, facility changes, teardown, etc. Generates training contracts for presenters/instructors, clients, and facilities. For cancelled or rescheduled open enrollment or contract training classes, coordinates any logistical and/or contract changes. Notify participants of class cancellation and encourage a transfer to a similar class, if available. Acts as liaison with clients, outside agencies and campus personnel. Provides backup for telephone communication and reception to guests; answers telephone, directs calls and takes messages when needed, registers participants for program offerings and provides information to customer inquiries in a timely manner for the Division of CE. Coordinates evaluation process. Edits videos, creates certificates and documents any coordination or class issues to be discussed and corrected. Work collaboratively as a team to ensure quality of each customer experience. This may include working after-hours to provide technical assistance for online classes or events.
Create, maintain, and assure integrity of data including contracts, courses, class offerings, training locations/rooms, and instructor information in the database software – 30%
Enters information in the CE database, MS Outlook, or the Facility Request Form based on the class form. Proofreads class entry information and catalogs reviewing them for accuracy. Coordinates the CE open enrollment or contract training class follow up by processing attendance rosters. Assists in maintaining the day-to-day database information for non-credit programs by ensuring data integrity by properly entering data, maintaining data integrity by regularly monitoring database information, ensuring data security procedures are followed, and monitoring format and layout of reports and documents to reflect accurate data.
Maintain knowledge of CE processes, procedures, and database software by keeping abreast of changes, update, and new features – 25%
Learns how to use the CE database software to successfully update certain information and to run necessary reports. Assists in creating, maintaining, and documenting CE procedures, prioritizes office procedures and makes revision recommendations when needed. Continues individual development by attending appropriate conferences and/or training to stay current with technology and best practices related to assigned responsibilities. Provides proper support coverage and cross training when appropriate.
Miscellaneous duties – 10%
Supports innovation, creativity, and ideas to improve/enhance processes, functions, etc. in the department and for the college. Performs other duties as assigned.

Minimum Requirements
- High school diploma or GED and four years of directly related experience.
- An associate degree may substitute for up to 2 years of directly related experience. A bachelor degree is accepted in lieu of experience.
- Proficient in general office procedures and good working knowledge of computer software programs (i.e., Microsoft Word, Excel, Teams, and Access, Outlook, Canva, Blackboard Collaborate Ultra, Yuja, Guidebook, Question Pro, etc.).
- Customer service skills with the ability to create a positive impression of the division and college.
- Ability to effectively manage time, multi-task, use initiative to meet deadlines, and ability to recognize areas of improvement while offering solutions.
- Self-starter, responsible, and have ability to promote training and create professional rapport with stakeholders.
- Excellent interpersonal/oral/written communication skills.
- Ability to coordinate, organize and handle multiple priorities.
- Detail oriented, able to set priorities and objectives.
Preferred Qualifications
- More than three years directly related experience
- Experience within an education or event management working environment.
- Demonstrates a high aptitude for learning and self-direction in computer programs.
- Experience entering data into a database software.
