Construction Project Coordinator Job at Vantage Construction Services LLC
The Construction Coordinator should feel comfortable in a demanding and fast paced environment with a wide scope of work. This is an administrative position requiring accuracy and attention to detail. Must be able to embrace a highly fluid environment with rigid deadlines.
The role of the Construction Project Coordinator is to assist the Project Managers in the successful management of project submittals, project files, contracts, change orders, purchase orders, meeting documents, closeout documents and permitting.
Salary will be based on candidate's experience and qualifications.
Overview:
- Assists Project Managers with contract preparation and in obtaining all necessary permits for construction
- Bid Management, initiate invitations to subcontractors to bid new work, manage and maintain bid documents and subcontractor proposals
- Maintain files for job drawings, sending out as needed
- Keeps project documentation archived in a precise and complete manner
- Coordinate with Project Managers and Field Superintendents on project needs
- Assists Project Managers to properly prepare for project closeout
- Answers in-bound calls and emails from customers and employees to assess their needs
- Works as a team player and contributes to the team accordingly
- May perform other duties as assigned
Specific Tasks Include:
- Complete the setup of new projects: transferring estimating files into the job folder on the shared drive on the server and set up project in construction software
- Creates project Subcontracts, change orders, purchase orders and forward to Subcontractor and Project Manager for review & signatures
- Coordinates the submittal process including obtaining submittals from Subcontractors based on the project drawings for review by the Architect and/or Engineer
- Maintains and tracks submittals both in the construction software and shared drive/server
- Secures permits, tracks revisions, and maintains record of all active & closed permits
- Assists Project Managers in the Close Out process: requests and assembles the Operations & Maintenance data, Warranties and As-Built Drawings for Project Manager to review
Job Qualifications & Skills:
- Two years of office experience, preferably in a construction environment.
- Microsoft Office Word and Excel
- Strong communication and interpersonal skills are required.
- Experience with Sage, ProCore and Bluebeam preferred but not required.
Reasoning Abilities:
Ability to apply principles of logical thinking to a variety of practical situations and accurately follows standardized procedures that may occasionally call for minor deviations. Must be able to think rationally beyond a specific set of instructions. Must be able to work at a fast pace, perform duties while under pressure and meet deadlines in a timely manner.
