Compliance Coordinator/Administrative Assistant
Wilbraham & Monson Academy is seeking a Compliance Coordinator/Administrative Assistant. This position reports to the Director of Facilities and provides regulatory support in the Facilities Department by assisting in the organization of daily projects. The Compliance Coordinator/Administrative Assistant ensures that the Academy’s operations and its employees adhere to the laws set by state and local agencies. This position is responsible for providing audit information by preparing reports, conducting risk assessments and researching solutions. The ideal candidate will have experience in facilities management and compliance reporting. This is a fast-paced positive team environment that requires the ability to multitask with strong attention to detail.
Job Responsibilities:
- Safety and Compliance
- Ensure compliance with the AHERA Asbestos Management Plan including scheduling annual and semi-annual asbestos inspections. Manage staff training related to asbestos management.
- Manage fire safety by overseeing required inspections and testing.
- Maintain compliance with lead laws and coordinate reporting requirements for employees living on the campus.
- Inspect emergency lighting and exit signs throughout the campus.
- Schedule elevator inspections to meet compliance standards.
- Maintain the MSDS inventory to ensure compliance with related OSHA requirements.
- Fire sprinkler systems testing, fire extinguisher inspections, and ANSUL fire system inspection.
- Assist the Director of Facilities with the IPM (Integrated Pest Management) Plan filings.
- Safety Data Sheet (SDS) Inventory.
- Assist with tracking pool compliance and maintenance.
- Coordinate bi-weekly grease trap pumping with the Town, maintain all records and reports.
- Work with outside vendors, including scheduling, coordinating with faculty and staff.
- Track annual license renewals for the Facilities Department including driving and risk management.
- Supervise cleaning services, including management of the contract with the Academy’s outside provider.

- Motivated to learn, share and take on new projects and challenges.
- The ideal candidate will have experience in facilities management and compliance reporting.
- A hands-on approach to scheduling and participating in inspections and campus tours.
Qualifications:
- 3 - 5 years experience in facilities support with preferred experience in a compliance and regulatory role.
- Associates Degree in Business or related field with progressive responsible administrative experience.
- Experience with SchoolDude or work order system software and use of Microsoft PowerPoint, Word and Excel.
- Excellent written and verbal communication skills.
- Must possess strong interpersonal skills and the ability to work various personalities while keeping a positive attitude.
Job Type: Full-time, non-exempt.
Education / Skill Requirements: College degree preferred. 3-5 years experience in administrative assistant and compliance
or related fields. Advanced knowledge and use of Microsoft Excel, Word and Powerpoint. Excellent written and verbal communication skills.
Experience Requirement: At least five years of progressive management experience in business operations or compliance.
Physical Requirements: This position requires mobility and sometimes physical exertion including, frequent standing, sitting, walking, reaching, lifting and bending. Must be able to lift up to 35 lbs. and have manual dexterity and coordination while operating personal computers, telephone, mail machine and similar machines.
