Position Number 468 Branch Financial Services Division Business Office Department Accounting Services Job Description
Provides administrative support and other assigned tasks to ensure smooth office operations for the College Business Officer and the related departments.

ESSENTIAL POSITION FUNCTIONS :

1. Provides administrative support including special projects, create correspondence and other communications for the College Business Officer and offices that report to that position to include receptionist duties, maintaining confidential files and coordinating the logistics and schedules of various meetings.
2. Maintains spreadsheets for items such as: legal fees and files of audits, monthly board reports, insurance information, and state budget filings.
3. Researches and collects information and data, performs various calculations, and organizes material into appropriate reports.
4. Assists Grants Accounting with preparation of documents needed to file financial reports for various grants.
5. Assists Accounting Services with compiling necessary documents needed for audit and other reporting requirements.
6. Assists with the payment of Culinary Corporation invoices.
7. Takes minutes of various meetings and transcribes into appropriate format.
8. Coordinates special projects with the Business Intelligence Analyst.
9. Assists with Cost Center Manager budget inquiries, requests and basic operational use of the budget system.
10. Assists with maintaining budget and other databases as assigned.
11. Maintains Business Office SharePoint (libraries) and intranet communications site.
12. Maintains office equipment and orders supplies.
13. If possible, serves as a Nebraska Notary Public.
14. Consistently and dependably attends work, activities, and functions as scheduled or assigned.


KNOWLEDGE , SKILLS , AND ABILITIES :

1. Proficient with MS Office Suite, SharePoint, Adobe and other College-supported software.
2. Knowledge of computer systems and office equipment.
3. Proficient planning and organizational skills.
4. Skill in demonstrating a cooperative and professional attitude.
5. Excellent oral and written communication skills, including spelling, grammar, and editing.
6. Troubleshooting and problem-solving skills.
7. Ability to support College insurance program activities.
8. Ability to maintain very high level of confidentiality.
9. Ability to manage and prioritize multiple departments and tasks.
10. Ability to do multiple step calculations.
11. Ability to work well with minimal supervision in a team-oriented environment.
12. Ability to write and maintain accurate records.
13. Ability to pay close attention to detail.
14. Ability to maintain professionalism, patience and understanding in stressful situations.
15. Ability to effectively work and interact with various cultures and ethnicities.

Required Qualification
Associate degree with three (3) years of full-time related-work experience.

Equivalent combination of education and/or work experience considered.
Preferred Qualifications Physical Demands
Prolonged periods sitting at a desk and working on a computer.

Must be able to lift up to 15 pounds at times.
Salary/Hourly Rate $21.30 minimum Shift Differential N/A
