POSITION TITLE: Clinical Education Liaison

POSITION REPORTS TO: Assigned Program/Division Director, College of Health Sciences
JOB SUMMARY:
The Clinical Education Liaison will work with the College of Health Sciences administration, faculty, and students to provide secretarial support for assigned programs within the college and provide coordinated college support for clinical education. This support includes but is not limited to overseeing correspondence regarding off-site clinical placements and maintaining student records as required for participation in clinical education.
As part of this role, this individual will serve as a liaison between the College of Health Sciences and affiliated agencies for clinical requirements for faculty and students. He/she also serves internal and external customers as a consultant and instructor for educating students and faculty on the use of uploading documents into the approved system for collection and distribution to the clinical agencies.
Major Responsibilities/Activities
- Communicates effectively verbally, electronically, and in writing with various internal and external stakeholders, including administrators, faculty, students and other staff and individuals inside and outside of the university community
- Uses various software to manage programmatic materials, correspondence, policies, reports, clinical contracts, etc. as directed by Supervisor
- Assists the Supervisor with reports, self-study documents, surveys, statistical summaries and other requirements associated with maintaining accreditation of departmental programs
- Oversees scheduling and coordination of various department meetings and activities
- Works with the Supervisor to monitor the department operating budget, orders departmental supplies, prepares purchase orders, and reconciles the monthly budget statements as directed
- Coordinates the onboarding process of incoming students: including frequent communication with incoming students regarding the expected immunizations and student orientation requirements for contracted health systems associated with health sciences programs; reviewing and approving of these required documents.
- Reviews and approves annual and program-required documents related to clinical education.
- Assists the Clinical Directors and Coordinators of Clinical Education my overseeing the process of reviewing and maintaining site-specific student requirements.
- Monitors changes in policies and practices at affiliated agencies and instructs faculty and students on these changes. This individual will assume the responsibility of continually monitoring and evaluating the effectiveness of the collection and maintenance process keeping communication lines open.
- As needed, creates tutorial materials for onboarding and training students and faculty in the clinical education software system.
- Organize, maintain and keep current records for College of Health Science Clinical Education.
- Maintains departmental webpages as directed
- Attends department, school-wide and staff meetings; records meeting minutes as requested
- Perform other duties assigned.
- Is willing to work outside normal business hours as needed

MINIMUM QUALIFICATIONS
Education
- Bachelor’s degree from an accredited university (preferred)
- Associate degree or equivalent administrative work experience (required)
Skills
- Proficient in Microsoft Office products, including data entry in spreadsheets.
- Capable of learning multiple software platforms, assisting the students in the navigation of each software system used in clinical education.
- Ability to identify inconsistencies and inaccuracies in documents and processes, and make corrections as required.
- Must be able to communicate clearly and effectively with all individuals at all levels within and outside of the organization; Demonstrates an ability to assess barriers to effective communication and adapt one's communication based on customer's response; Able to ask questions in a manner to draw out appropriate and needed information.
- Demonstrates problem-solving skills and attention to detail.
