New Jersey Natural Gas (NJNG), a subsidiary of New Jersey Resources is seeking a Clerical Assistant IV to support the engineering department’s day-to-day activities related to work order preparation and monitoring, processing of associated construction permits and service orders, as well as all other administrative and back office functions.
Major Responsibilities:
- Create and maintain work order files for all construction projects. Route the orders to the appropriate departments and update the project status from creation through close-out in a timely, accurate, and productive manner.
- Process and track incoming and outgoing construction permits and related fee checks in a timely manner.
- Monitor the status of work orders pending posting in the drafting area.
- Process posted work order as-built packages and forward to Accounting in a timely manner.
- Prepare service orders for construction work order projects timely and accurately.
- Assist the engineers in service order research necessary for the accurate creation of service orders.
- Prepare and process all department purchase orders, vouchers and invoices through the AS400, Oracle and Maximo systems.
- Order, monitor and stock the office supply needs of the department.
- Maintain and track all status of construction project-related escrow accounts. Periodically review with staff and Accounting to determine status and resolution.
- Respond to and assist in inquiries and telephone calls from customers, outside contacts and employees in a timely and professional manner.
- Open and/or distribute department mail to all employees.
- Prepare documents for mailing and shipping via US Mail and FedEx/UPS.
- Reconcile department procurement card transactions, and allocate in Visa management system to proper accounts.
- Coordinate all travel arrangements for staff (includes hotel reservations, airlines, car rentals, ground transportation, registrations, meeting rooms, etc.); Ensure all trips have been approved in accordance with corporate travel procedures. Provide itineraries and approved forms to employees a week before traveling when possible.
- Coordinate conference room scheduling for department.
- Keep overall appearance of department clean and organized.
- Maintain effective internal and external contacts. Work in the spirit of cooperation that fosters teamwork and a sense of responsibility.
- Perform other tasks and responsibilities assigned by department supervision.
- High School or GED required, bachelor's degree is preferred
- 5 years’ experience in an office setting is required
- Highly motivated, organized, and detail oriented, with excellent communication skills and strong customer service focus
- Excellent time management skills and the ability to work independently, as well as with a team
- Proven ability to handle multiple assignments from multiple people. Proficiency in Microsoft Office software (Word, Excel)
- Proficiency using JDE work order/UCIS system preferred
- Ability to work with limited supervision, and establish effective working relationships with others
