This position is responsible for coordinating all aspects of patient scheduling. The employee provides information and instructions regarding diagnostic tests to patients and completing all prep work for patient visits. This position performs duties in accordance with all applicable compliance standards and regulations.
Responsibilities:Essential Functions:
- Assists all patients, family members, physicians, visitors, vendors and employees in a friendly, courteous and professional manner.
- Supports the hospital’s mission, vision and values by presenting a positive and polite manner and offering assistance to all customers.
- Schedules patient appointments for Radiology, Respiratory, and the Physician Clinic.
- Coordinates multiple appointments for patients, doctor offices, and outside facilities in accordance with the hospital’s policies and procedures.
- Schedule patients within HMS Integrated Scheduling menu
- Confirm the patient’s demographics with the patient and/or physician’s office.
- Obtains and verifies all patient insurance information from the patient and/or the physician’s office.
- Advise and/or receive authorizations from the physicians’ offices as required by the payers.
- Notify the patient and/or physician’s office of any delays in the scheduling process.
- Notify the patient and collect any out of pocket expenses prior to the scheduled date. Out of pocket expenses includes co-pay, deductible, and/or any Medicare discounted payment amounts.
- Mail scheduled patients an appointment card which includes the appointment date, appointment time, and any out of pocket expenses.
- Call patients to confirm appointments the day prior to their scheduled appointment or test. Reschedules patients as needed.
- Maintains the prep kits stocked in the admitting closet for patient care needs.
- Applies the Medical Necessity standards as it relates to patient procedures that are ordered.
- Ensures that all pre-test requirements are completed and obtained from the patient prior to the scheduled appointment date.
- Ensures proper information is scanned into the patient accounts in the proper electronic folders, including but not limited to new or updated physician orders.
- Ensures that patient’s lab work is done before day of test when it is needed.
- Cross trains with admitting/registration staff in order for proficient knowledge of process and to assist admitting/registration staff as needed.
- Serves as a liaison to all patients and customers for any inquiries and requests.
- Adheres and follows all hospital and departmental policies and procedures.
- Applies the hospital’s principles of safety in all work practices. Reports any identified safety risks or incidents per the hospital’s policies and procedures.
- Adheres and responds to all Emergency Codes as indicated by the department requirements.
- Maintains current knowledge of requirements and regulations of specific insurance carriers and corresponding insurance forms, as well as state collection laws and HIPAA as it applies to admitting and registration.
- Seeks opportunities to participate in work teams and departmental special projects.
- Maintains a neat, orderly and safe work area.
- Follows all infection control and employee health policies and procedures at all times.
- Maintains patient confidentiality at all times according to the hospital’s established policies and procedures.
- Emergency duty may be required of the incumbent that includes working in special needs or Red Cross shelters or to perform other emergency duties including, but not limited to, responses to threats or disasters, man-made or natural.
Education:
- High School Diploma or GED required. Associate’s Degree or Bachelor’s Degree preferred.
Experience:
- Minimum one (1) year experience in a medical office or hospital setting required. Knowledgeable in Medicare compliance guidelines, Florida Medicaid and third-party insurance companies required.
Certification:
- Certification as Patient Access Associate Preferred.
