Job Responsibilities of this position include:
- Model outstanding patient service including written, verbal, and other communication skills
- Be available to work Monday - Friday
- Ability to manage all insurance billing and insurance follow-ups
- Process end of day reports
- Handle Accounts Receivables and Financial Arrangements
- Attend meetings, training courses, and other learning and development opportunities as made available and/or needed
- Adhere to enhanced infection control protocols and PPE requirements to reduce transmission of COVID-19
- Study insurance plans used most often with patients to understand the various nuances to communicate more effectively
- Document and update basic insurance information in patient files for quick reference
- Process and send insurance claims daily
- Monitor, follow-up, and resubmit any outstanding claims
- Provide the appointment coordinator with a list of patient names, amounts due, and reasons for any insurance denials at the beginning of each day so effective communication collection can take place
- Find patients in the daily schedule who have any financial concerns, notate payment issues under patients account notes, and create a chart alert for the appointment coordinator
- Call patients with financial issues and make them aware before the patients’ appointment. If you are unable to contact them before their appointment, they need clarity of the issue before they go back to clinical, but done so in a loving respectful manner
- Record all financial discussions with patients under account notes in the patients’ chart and always keep detailed notes of any conversations you have had with a patent
- Contact patients who have not kept their financial agreement within a 5-day grace period to collect payment following the financial plan
- Prepare and mail patient statements each month on a regular billing cycle
- Make all collection calls to patients with or without insurance to collect amounts owed (30-day grace period given to patients with insurance for insurance processing)
- Solidify the financial agreement with the patient, such as payment amount, treatment covered/not covered by insurance, and scheduled payments of treatment.
- Follow through with correspondence about collection when unable to contact the patient on the telephone
- Prepare and send uncollected accounts to collections or small claims court with employer approval and follow through as needed
- Send information as requested by insurance companies such as x-rays, charting, narratives, and other documentation for processing the claim when applicable
- Supply insurance predetermination documentation to patients and contact the patient to make financial arrangements as well as schedule treatment
- Correspond with insurance companies to resolve payment delays, requests for more information, and/or to discuss denied treatment coverage
- Manage all inquiries concerning insurance daily
Qualifications:
- Minimum 2 years of dental administrative office experience
- Experience in Eagle soft (Dental Intel knowledge a plus)
- Knowledge of financial and insurance billing needed
- Ability to adjust and adapt in a fast-paced office in a stress-free manner
- Outstanding customer service background a plus
- Knowledge of English composition, grammar, spelling, and punctuation
- Skilled in the use of standard office equipment including multi-line telephones, calculators, copiers, fax machines, and computers/computer software (MS Excel, Word, & Practice Management software)
- Ability to keep composure and professionalism when exposed to stressful situations
- Ability to earn and keep trust from the doctors, co-workers, and patients
- Ability to collaborate cooperatively with all staff and patients
- Ability to prioritize, organize, and complete tasks in a prompt and independent manner
- Ability to accept constructive criticism
- Ability to understand and follow written and verbal instructions
