Job Description
Responsibilities:
1.
Event Management: Responsible for the daily execution of events within WSU’s Student Union which contribute to the University’s student programming mission. Ensures the daily, evening and weekend events of the Student Union operate efficiently, safely and meeting the needs of the Winona State campus community. Plan and coordinate the resources (i.e. equipment, furniture, human) needed to ensure scheduled events are properly executed and meet customer needs. Develop, approve, and implement policies/procedures to support the effective operation of the Student Union. Provide timely response and resolution to concerns, special requests or complaints from University and external customers. Operate and maintain audio visual (AV) equipment and train department staff and users. Provide feedback and guidance to staff that support meeting room and event space scheduling and reservations in EMS for the Student Union. Coordinate use of the Outdoor Fire Feature adjacent to Kryzsko Commons including staffing during regular use and special events, maintenance, and repair.

Student Development: Responsible for developing and leading a team of students to support the daily operations of the Student Union. Oversee the WSU Student Union Resource Center which is staffed by students and provides students, staff, faculty, parents and visitors information on campus resources and the community, allocating recreation equipment, bike rentals, managing the Warrior Esports Lounge, and lost and found for the building. Develop, implement, and oversee a Student Building Manager program which will support the operations and customer service needs Student Union while developing skills in leadership, management, communication, and customer service. Responsible for personnel decisions for student employees that include recruitment, selection, supervision, training, scheduling, evaluation, on-going development, goal setting, reward, discipline, and termination. In support of retention and student success this position will research, develop, implement, and assess comprehensive learning outcomes-based student employment program.

Campus-Wide Third-Party Event Coordination: Serve as contact for all third-party event needs across campus including access to academic buildings, outdoor space, athletic facilities, and large gathering-spaces. Coordinate all details and communicate needs to relevant stakeholders within the university. Create and execute facility use agreements and fee collections related to events. Responsible for promoting the Student Union and other campus venues as a conference, event, and meeting facility in Winona. Liaison with Camps & Conference services to provide short term access to university housing.

Facility Maintenance and Emergency Management: Provide lead work direction to general maintenance workers assigned to perform daily facilities maintenance work for the Student Union. Create, prioritize, and communicate work order requests for the facility. Identify, coordinate, and implement an annual building cleaning, repair, and maintenance plan. Receive, prioritize, and approve equipment and furniture repair including serving as the liaison to the contracted food service provider to coordinate preventative maintenance and repairs of University owned food service equipment. Develop cost estimates, schedules, plans, and solicit external proposals from a variety of contractors to complete minor repair projects. Assist the director in planning, coordinating, and implementing remodeling and renovation projects. Establish facility emergency procedures and serve as the liaison with Campus Security to coordinate emergency and safety management for the Student Union.

Warrior Esports Lounge Coordination: Oversee use of the Warrior Esports Lounge including management of inventory, rules and policies, special events, staffing, and technology. Train staff on use of computer software and Audio-Visual technology in the lounge. Collaborate with IT Services on routine maintenance of equipment. Serve as university contact for Esports groups looking to be competitive at an intercollegiate level.

Collaboration. Participate as a part of the greater Student Union & Activities staff team and utilize a student development approach to working with students, student employees and volunteers to develop a customer service focused environment. Work cooperatively with staff and students on projects, policy formation, process improvement, review for the building and department, support and attend departmental and campus programs, and provide clarity of communication throughout the organization. Assist director with strategic planning for Student Union & Activities department.

Perform other duties as assigned that support the University, Student Life and Development division, and departmental priorities and initiatives including professional development, campus committee participation and providing direction for the Student Union facility in the Director’s absence.

Working Conditions
This position will be required to come in on evenings and weekends as the need arises to manage the building event operations, provide staff training and supervision, or handle unexpected facility issues or emergencies. Certain complex events (i.e. Presidential or high-profile events) may require this person to work whenever the event is scheduled or in some instances be on-call in case an issue arises. This person supervises the student building managers and gives lead work direction to general maintenance workers who are on-duty in the evenings and works with external vendors/contractors. Some complex issues the operations staff encounter require additional assistance and can be dealt with over the phone but at times the individual may need to be on campus.
Physical Effort
The individual in this position must be able lift over 50 pounds and perform repetitive lifting and bending as required to complete furniture and equipment set-ups for events.
Required Qualifications
Minimum Qualifications:
- Bachelor’s degree in Project Management, Hospitality Management, Facility Management, Leadership, Business, Communication, Management, or related field.
- Two (2) years of professional experience in special event programming, conference center event operations, facility management, or related field.

- Master’s degree in Higher Education Leadership, Student Affairs, College Student Personnel, Business Administration or related field.
- Experience in Higher Education Student Union/Student Activities.
- Experience educating and developing student employees or student leaders with knowledge of student development theory.
- Experience leading and supervising culturally diverse teams.
- Evidence of designing, developing, and implementing staff training programs.
- Knowledge of event management software.
- Experience developing and implementing annual repair and maintenance plans.
- Experience designing and implementing assessment or continuous improvement plans.
- Strong oral and written communication skills.
- Proficient in the use of a variety of technologies including but not limited to audio/visual equipment and/or sound systems.
- Ability to exercise good judgement and negotiate crucial conversations in stressful situations.
