Tri Pointe Homes San Diego is looking for an experienced, detail-orientated, problem-solving individual to join our talented group as an Assistant Project Manager.
Position Highlights: The Assistant Project Manager supports the Project Manager in accomplishing all of their responsibilities.
Position Responsibilities:
- Phone calls, messages, email, scanning, copying, mailing
- Assist with internal and external schedule coordination and communication of important items between the internal team (offsites, construction, land acquisition, and sales) and external team (consultants, subcontractors, agency personnel, etc.)
- Hone presentation skills to present projects and develop relationships with outside agencies to facilitate project approvals. Skillset to be both persuasive and interpersonal.
- Project management and internal teams
- Scan and accurately file project-related documents using the company network drives per policies and procedures
- Accurately save and file plans using a file retention system and manage the plan tracker
- Generate contracts, review invoices, and track payment for consultants, third party consultants, land acquisitions, and marketing
- Obtain, process, file, and track utility contracts
- Assure proper coding for all permits, fees, and consultant invoices
- Complete applications for building permits, school fees, impact fees, and all fees related to project approvals and DRE
- Prepare submittal packages to governmental agencies; track and follow-up on submittals
- Understand when payable (permit or final map) and track for budget purposes
- Assist Project Manager with providing the city with all necessary information to complete the subdivision agreements and bonds
- Create and monitor project schedule with Project Manager oversight
- Assist Project Manager with compiling and reviewing all due diligence materials
- Assist Project Manager with creation of initial project budget, securing necessary reports during due diligence, and communicating entitlement process and risks to the management team as directed
- Update Jobs-in-Progress
- Understand and monitor reports related to jobs. Includes Sales Reports, Market Data, Bond Reports, and external market reports
- Process construction documents with consultants, internal team, and agencies (architectural, structural, truss calculators, fire sprinkler, T24, and others as needed)
- Fully understand each city’s requirements for processing plans, plots, permits, fees, etc.
- Communicate with consultants regarding City requirements to utilize to generate plans i.e. planning requirements related to building setbacks etc.
- Obtain necessary consultant reports from soils and civil engineer and distribute to internal teams and consultants ensuring correct reports are received. Verify all project plans are in conformance with reports. Know which personnel (internal and external) should receive various reports.
- Provide material and guidance to consultants to prepare architectural plans, site plans, engineering plans
- Prepare and distribute construction start memos as needed
- Prepare books, notes, and materials related to projects, lender, frame walk, CFD, project tours, corporate presentations, etc.
- Assist Project Manager in filing any corporate presentations and business plan
- Assist Project Manager to ensure that all competitive pricing is maintained and entered into the market graphs
- Assist in managing all project documents related to the DRE, HOA, CC&R’s, Disclosures, etc.
- Participate on HOA boards
- Assist with completion of all HOA common area turn over process and documents
- Ensure all documents are kept current, engaging Project Coordinator to update other systems
- Assist with preparation of sales documents and line art
- Prepare and work with Project Coordinator to distribute all sales release documents
- Assist Project Manager with other duties as required
Position Qualifications:
- High School Diploma/GED required
- Bachelor’s Degree desired
- 3 years of previous project management related to homebuilding preferred
- Must be organized and have strong communication skills
Compensation & Benefits
- Base Salary: The expected base salary range for this position is between $78,000-124,800 per year, depending on experience and skillset. Base Salary is paid bi-weekly, every other Friday.
- Bonus: This position is eligible for an annual performance-based cash bonus. Bonuses are earned, calculated and paid in accordance with the terms and conditions of the Company’s applicable incentive plan document.
