POSITION SUMMARY

The Assistant Director of CAE Programming supports the Executive Director to facilitate smooth operation of all programming within the CAE. The Assistant Director works for the Executive Director, as well as provides support to Chairs, Directors, and Program Coordinators within the CAE. Programs across the CAE require interaction with students and faculty, staff of other departments on campus, prospective families, outside vendors/clients, and the general public. The Assistant Director is knowledgeable in programming matters and can easily step in to assist with teaching courses, advising support, data and research-based projects, and academic coaching.

ESSENTIAL DUTIES & RESPONSIBILITIES

1. Carry out work as assigned by the Executive Director for programming across all CAE departments and persistence efforts.

2. Perform support tasks for the CAE Executive Director, including CAE Chairs, Directors, Program Coordinators, faculty and adjuncts as needed.

3. Support the Executive Director in curriculum development for new programs within the CAE.

4. Be able and willing to assist with academic advising and connecting students to academic support resources, as needed.

5. Teach courses in the Department of General Studies and/or relevant departments, as needed.

6. Create, facilitate, and disseminate marketing materials for all CAE programming, and work with the University Marketing department for external projects.

7. Supervise CAE student workers and departmental/project-based assistants.

8. Manage all CAE social media accounts and contribute to the ongoing digital presence and narrative of CAE programming, including collaborating with CAE Peer Educators to create content that caters to current students as well as external viewers.

9. Assist with the collection and dissemination of data and departmental reports, coordinating prospective student visits, and taking minutes at departmental meetings.

10. Provide word processing for various needs, including, but not limited to, general correspondence, informational postings, development and revision of department forms, design and production of promotional materials.

11. Perform clerical tasks as needed, including mail processing, maintaining departmental files, processing purchase orders, reimbursements, and room reservation requests, entering data into Taskstream, handling phone calls, and posting CAE events on social media.

12. Participate in professional development through membership and involvement in professional organizations related to academic support.

13. Assist with departmental outreach projects across campus—including academic programming and work related to the Sophomore Experience.

14. Ongoing oversight of the CAE 2nd Floor; organizing department materials, monitoring supplies, answering student questions, and assisting with area management when needed.

15. Other dues as assigned by the Executive Director.

KNOWLEDGE, SKILLS & ABILITIES REQUIRED

1. A lifestyle in agreement with the ONU Statement of Mission, Faith, and Lifestyle Covenant.

2. Positive interpersonal relationship skills to effectively work with students, faculty, prospective students and their families (personable, warm, gracious), and multiple departments at once.

3. Familiarity with social media venues and the ability to manage the CAE online presence.

4. Essential computer skills: Microsoft Outlook, Microsoft Office, Canvas, Datatel, Colleague, Astra, Taskstream, and Canva (training available).

5. Good organizational ability, detail-oriented, ability to handle multiple tasks on an ongoing basis.

6. Flexibility/adaptability to “pitch-in” to help accomplish miscellaneous tasks.

7. Experience teaching in higher education courses related to academic success.

8. Experience advising students in transition between majors, as well as students considering withdrawing from the university.

9. Strong independent skills for autonomous work, with the ability to immediately pivot and collaborate well in a team setting as needed.

EDUCATION

Master’s degree required, with some teaching experience in the higher education setting; Preference will be given to candidates with tutoring, coaching, and advising experience.

WORK ENVIRONMENT

The Assistant Director to CAE programming will work in close proximity to the Executive Director, with access to CAE Chairs, Directors, and Program Coordinators. The Assistant may work some late afternoons and evenings for special CAE programming. The Assistant Director will be a front-facing point of contact for faculty, staff, students, and prospective families, but a workspace, with some discretion and confidentiality surroundings, will be provided.
