Another Source’s client, University of Puget Sound, is recruiting an Assistant Director of Alumni Community Engagement to join the Office of Alumni and Parent Relations team in Tacoma, Washington. This role will be on-site to start, for the first 6 months. After 6 months, you will get the opportunity to work remotely for part of the week.

The Assistant Director of Alumni Community Engagement is responsible for planning and implementing initiatives to engage alumni in lifelong relationships with the University of Puget Sound. The assistant director leads and manages a class-based engagement strategy, class community committee structure in partnership with the Office of Annual Giving, and plans and executive signature event of Summer Reunion Weekend. The assistant director provides staff leadership and support to the Alumni Council’s various affinity groups, and leads engagement efforts for a variety of affinities (identity-based communities and shared interest-based communities).

How will you spend your time?
  • 50% working with affinity groups
  • 50% working with class level volunteers (Freshman, Sophomore, Junior, Senior)

Essential Job Functions and Responsibilities:
  • Lead and manage class-based community programs and engagement strategy
  • Recruit and support class volunteers and leaders of the Class Community Committee
  • Plan and oversee a robust class reunion program, facilitating strong attendance and increased volunteer leader ownership of the events
  • Implement systems of volunteer recruitment tracking and management
  • Manage class- and reunion-based communications
  • Provide leadership to colleagues managing other class committees, as well as oversight to ensure alignment with overarching class engagement strategy, in order to best support success of those class committees outside this role’s direct portfolio
  • Manage a range of class reunion committees (20th, 25th, 30th, and 50th), identifying, recruiting, training, and inspiring alumni reunion volunteers and working with committee leadership to facilitate alumni participation
  • Partner with the annual giving liaison for specific classes to ensure a collaborative approach to shared objectives
  • Provide leadership and administrative support for affinity groups (Greeks, Athletics, identity-based groups, etc.) as well as affinity-based communities without official groups, assisting with meeting planning and program development as well as volunteer recruitment, and participation on the Alumni Council
  • Work with and support volunteers as appropriate and provide the necessary oversight and follow-up to ensure successful and timely execution of relevant tasks
  • Staff and support the Women’s League
  • Manage and direct Summer Reunion Weekend planning, meeting goals for attendance, implementation, and budget
  • Parner with the director of alumni and parent relations to provide leadership and direction to the Reunion Weekend Planning Committee, recruiting faculty, university officials, and others for involvement in programming and events
  • Create detailed timelines and flowcharts for programs and events, outlining deployment, deadlines, and revenue/expense budgets
  • Develop staffing plans to ensure adequate staff support for programs and events
  • Partner with the director of alumni and parent relations management team to formulate and assess progress towards short- and long-term strategic plans for the Office of Alumni and Parent Relations, as well as University Relations more broadly

Minimum Requirements:
  • A bachelor’s degree, or equivalent experience
  • Experience working in alumni relations (or related field) with a track record of volunteer management, as well as program management, development, and implementation
  • Ability to work and communicate effectively, orally and in writing, with a broad range of internal and external constituents including alumni, students, parents, faculty, staff, and other friends of the university
  • Excellent project management, organizational, and planning skills as well as superior attentiveness to detail
  • Experience producing quality publications or communications materials
  • Experience planning both small- and large-scale event
  • The ability to work independently, solve problems, handle confidential information, and navigate sensitive situations
  • Experience managing program budgets and expenses
  • Highly developed computer skills including experience with Word, Excel, and PowerPoint as well as constituent relations software such as Millennium
