Job Summary
The Assistant Director, Financial Aid (Medical School) will assist the Director in the overall financial aid operations for College of Medicine students. This individual will be responsible for timely processing and compliance of all Federal, Institutional, and State aid programs.

Essential Duties
  • Oversees all quality control processes related to College of Medicine financial aid operations, and develops a process for and conducts regular internal auditing of financial aid files and activities to ensure quality control, internal consistency and compliance with Department of Education and State of California regulations
  • Counsels’ students, prospective students and their families regarding financial aid services provided
  • Oversee the development, management and delivery of an effective financial literacy curriculum
  • Packages student’s financial aid awards in agreement with the awarding policies, mandates and constraints of the sources of financial aid
  • Oversees and coordinates the processing of students scholarships and financial aid, ensuring compliance with appropriate laws, rules and regulations
  • Originates federal student loans and process private education loan applications; assist in the review, approval and denial of financial aid applications
  • Prepares written reports, resources, education and training materials on timely compliance topics
  • Recommends institutional financial aid policies and procedures based on federal and state regulations
  • Collaborates across Student Affairs and College of Medicine to proactively identify and gain support in mitigating student financial distress. Work collaboratively across the university to demonstrate the financial need of medical school students.
  • Serve on the College of Medicine’s Scholarship Committee to ensure accurate distribution and accounting for student scholarships.
  • Oversees and coordinates the processing of students scholarships and financial aid, ensuring compliance with appropriate laws, rules and regulation
  • Create and manage materials pertaining to financial aid related services, policies, applications, procedures, and guidelines. Regularly maintains the medical school financial aid website pages.
Other Duties and Responsibilities:
  • Perform other related duties as assigned.

Required Qualifications
EXPERIENCE :
  • Three to five years of increasingly responsible experience in financial aid/scholarship program administration/processing in schools, colleges, universities or similar settings.

Minimum Requirements
  • Working knowledge of regulations governing federal, state and institutional policies regarding administration of financial aid i.e.: Federal Direct Loans, NDSL, Federal Work Study Programs, ELM, EdFund, Sallie Mae, EdConnect, EdExpress, Cal Grants, and Web Express.
  • Knowledge of PowerFAIDS and Microsoft Office
  • Knowledge of federal and institutional methodologies
  • Extensive experience with need analysis, counseling, and packaging aid
  • Ability to analyze and interpret federal and state regulations pertaining to student aid
  • Ability to maintain effective working relationships with diverse/multi-culture faculty, students, staff and external contacts.
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously, ability to prioritize and meet deadlines.
  • Excellent proactive communication skills, ability to negotiate, make requests and provide leadership.
  • Strong problem-solving skills and ability to address complex issues.
  • Ability to exercise professional judgement when reviewing student files and appeals.
  • Ability to work independently and manage time effectively.

Preferred Qualifications
  • Regionally accredited Bachelor’s degree is preferred.
