RES Accounts Payable/Accounts Receivable Associate is responsible for assisting the RES AR/AP Supervisor, in meeting goals and deadlines set forth for the RES Accounts Payable/Receivable Team. This position requires excellent organizational, communication and interpersonal skills. This role requires close coordination with various internal business functions, such as Real Estate Services, Accounting and Business Operations. A strong working knowledge of standard office processes, related software and electronic communications tools is essential.
Responsibilities:
AP Responsibilities:
- Set up new vendors and verify all information received is complete and accurate.
- Code and upload invoices in a timely and accurate manner, ensuring the proper workflow is selected for invoice approval.
- Assist vendors with invoice and payment inquiries.
- Maintain communication with corporate personnel and regional staff, including inquiries on payment status, and questions on invoice coding.
- Assist in providing copies of cancelled checks, invoices, and other relevant reports out of Yardi Payscan to auditors and other individuals within the organization.
- Prepare lease commission invoices for payment.
- Assist with voids, stop payments, check re-issue when needed and work on resolving stale-dated checks.
- Assist with training new users on roles/responsibilities and reporting capability within Payscan.
- Perform special projects as needed.
AR Responsibilities:
- Review bank activity and accurately post cash receipts to tenant accounts in Yardi.
- Manage AR Reconciliation files and work with accounting to identify and resolve variances.
- Work with RES AR/AP Supervisor to identify delinquent accounts or short payments from tenants.
- Assist in preparation of Demand and Default Notices.
- Prepare and distribute notices to tenants for remittance changes, change in ownership, or new acquisitions.
- Process tenant refunds and security deposit applications as needed.
- A Bachelor’s Degree or equivalent job experience.
- One year of accounts payable/receivable experience required.
- Ability to work in a fast-paced and results driven environment, with the ability to multitask and meet deadlines.
- Ability to work collaboratively with both internal and external teams. The qualified candidate must be a team player and operate with a resolution mindset when addressing questions that arise.
- Effective communication skills, both verbal and written, are essential.
- The qualified candidate must perform an effective self- review of their own work and have a commitment to producing a quality product.
- Strong attention to detail and solid analytical skills required.
- Proficiency with accounting software package (Yardi) preferred. Strong proficiency with MS Office, particularly Excel, Word and other Windows applications.
