Responsibilities :
The Administrative and Support Specialist is responsible for supporting management or entire departments. The Administrative Support Specialist should be able to successfully handle multiple tasks in a fast-paced environment, provides clerical and administrative services and performs numerous duties.
- Professional Development Academy and TMPI Administrative Support: Administrative onsite support in conjunction with VBA program and project managers to deliver required training events and other related needs. This support includes assisting in preparing materials for key coordination events throughout the year, including various training events held at the Professional Development Academy in Baltimore, MD, and other events as required.
- The Administrative Support Specialist shall greet visitor, answer phone, provide program support to the Human Capital Services (HCS) Professional Development Academy and TMPI staff office.
- The Administrative Support Specialist shall draft formal correspondence and provide editorial reviews for both external and internal communications, maintain oversight of events calendar, monthly staff meeting agenda and scheduling and other administrative tasks.
- The Administrative Support Specialist shall work in conjunction with Government travel team and program managers on compiling data and requirements in support of the conference package approval process.
- The Administrative Support Specialist shall assist with coordination and logistics for programs both residential and virtual training needs and formally track the successful close out of all training activities as well as the timeline for all programs start dates, application periods and all other related activities for monthly, quarterly, and annual reporting needs.
- Support will be required for training events and planning, minutes, meeting coordination, support for training implementation, such as supervisory training, student communications and support, maintaining rosters, classroom and virtual instruction, support for the VBA Academy, classroom supplies, SOPs, attending meetings and other administrative tasks associated with training delivery.
- The Administrative Support Specialist shall assist with coordination and logistics for Supervisory Management Training (SMT), Advance Management Training (AMT), Employee Learning Inspires True Excellence (ELITE) Instructor Certification Program, and other residential and virtual training needs and formally track the successful close out of all training activities as well as the timeline for all program start dates, application periods and all other related activities for monthly, quarterly, and annual reporting needs.
- Associate’s degree or related certification and 3 years related experience, or
- Full knowledge of Microsoft Windows Office applications to include Outlook, LYNC, PowerPoint, Word, and Excel
- Strong communication, problem solving, critical thinking and organization skills
- Ability to troubleshoot technical and logistical concerns as they arise during the program
- Ability to prioritize work and adhere to strict timelines
- Ability to work collaboratively with others.
- Ability to pass a background check and drug screen.
