JOB DESCRIPTION AND POSITION REQUIREMENTS:
Penn State Schuylkill is seeking an Administrative Staff Assistant to join our team. Reporting to the Director of Student Affairs and Athletics, the Administrative Staff Assistant is responsible for providing support to the Director of Student Affairs and Athletics, as well as several other offices within the unit including Campus Life, Health Services, Counseling, Psychological Services, and Disability Services.
Typical Job Responsibilities:
Coordinates employee and team travel arrangements including transportation and lodging needs.
Prepares expense reports in SAP Concur for employee travel reimbursements and other purchases made on p-card.
Order supplies through Shop OnLion or external vendors.
Creates and reconciles purchase orders in SIMBA, and submits non-PO invoices for payment.
Inputs journal entries for cash receipts, and generates reports to monitor expenditures for various cost centers/internal orders.
Assists activity club advisors with club deposits and expenditure requests.
Generates contracts for campus events prepares bid document spreadsheets and completes Certificate of Insurance forms.
Performs general office duties such as greeting students and visitors, answering incoming phone calls and routing appropriately, scheduling meetings, and managing Outlook calendars. Assists the Health Services office by scheduling students for appointments with a nurse or physician and providing backup phone support.
Utilizes Microsoft Office Suite and Canva to create flyers, invitations, award certificates, meeting materials, presentations, and spreadsheets as needed.
Assists staff with planning and coordination of events such as athletic banquets/ceremonies, health fairs, and student activities.
Enters events in 25Live to reserve rooms and resources on campus.
Composes event descriptions and reviews/approves student events submissions in 25Live prior to publication on campus calendars.
Arranges group meals/catering services for events. Sends event invitations and collects RSVPs.
Ensures the PSS Athletics website and 25Live calendars are in-sync and have accurate game information.
Typical Education
1+ years of related experience
High School Diploma or higher
Or an equivalent combination of education and experience.
