POSITION SUMMARY:

We are currently recruiting for an Administrative Specialist.The Administrative Specialist is responsible for scheduling appointments, answering phones, greeting visitors, and maintaining organized file systems for the organization, and related duties as assigned. This PART-TIME position starts at $19.00 per hour and is located in Golden, CO.

This is a COVID Safe position and requires applicants/employees to be fully vaccinated or agree to submit to weekly COVID testing at the expense of the applicant/employee. ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Greet customers entering the Employment Navigation Center; inquire as to customers’ needs; direct accordingly
  • Assist customers with technical aspects of job search basics
  • Saving and uploading resume
  • Applying for jobs online
  • Using search tools for job opportunities
  • Using Connecting Colorado
  • Other technical aspects of job search basics
  • Organize and make copies of literature as needed
  • Take calls in the call center on a rotation basis
  • Assist customers with navigating NorthStar digital learning system
  • Check in with customers at computers and aid as needed
  • Print materials and post as needed
  • Assist with SignageLive and monitor system daily set up and update
  • Assist with live events/hybrid events set up and facilitation
  • Maintain a clean and tidy appearance in the Center, the interview rooms and the Digital Learning Lab
  • Keep interview room bulletin boards information up-to-date
  • Reset Connecting Colorado passwords and orient customers to the benefits of using Connecting Colorado
  • Thank customers for stopping by and ask if their needs were met
  • Supports with lunch, breaks and vacation coverage of other team members
  • Participate in developing department goals, objectives, and systems
  • Participate in staff meetings and attend other meetings and seminars as assigned.
  • Recommend new approaches, policies, and procedures, to continually improve efficiency of the department and services performed.
  • Efficiently performs duties as assigned and works as a team within division and company.
  • Perform other related duties as assigned.

Required Skills/Abilities:

  • Excellent verbal, written, and listening communication skills within the English language.
  • Proven, high quality customer service (internal and external customers).
  • Ability to work collaboratively.
  • Solid ability to analyze situations carefully and adopt appropriate courses of action.
  • Ability to understand and adhere to the duties, methods, and procedures required by the position.
  • Excellent organizational skills and attention to detail.

  • Ability to effectively communicate to large and small group audiences.
  • Proficient with Microsoft Office Suite or related software.

Education and Experience:

  • High school diploma or equivalent, preferred.

Preferred Knowledge, Skills and Abilities:

  • Proven customer service skills; experience working with diverse populations
  • Good communication skills; ability to explain complex information in easy to understand manner
  • Enjoy working with the public
  • Proven computer skills (Microsoft Office, e-mail, internet),
  • Able to operate/learn to operate office equipment (copiers, printers, scanners, fax machines, etc.)
  • Professional appearance

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift and move up to 25 pounds at times.
  • Standard hours of work Monday through Thursday, 8:30 am – 3:00 pm.
  • Travel may be required up to 10% of the time.
