The Job Opportunity and Duties…

  • Provides routine secretarial support to Unit Operations
  • Types, proofreads, edits typed documents
  • Copies, scans, distributes, posts and/or files correspondence, reports, memos, prepares (e.g., composes, types, obtains signatures) of various documents (e.g., performance evaluations, general correspondence)
  • Relieves supervisor of routine administrative duties (e. g., independently composes and responds to routine correspondence and verbal requests not requiring the personal attention of supervisor)
  • Produces typed copy of staff correspondence, schedules, logs kites and types responses
  • Researches, retrieves, and data entry information into DOTS Portal system or other applicable programs, directs telephone inquiries from the public to the appropriate staff member
  • Maintains and provides applicable documentation as required by American Correctional Association Standards, Ohio Department of Rehabilitation and Correction Administrative Regulations, policies and/or procedures.
  • Interacts with other departments: provides information and compilation of data, receives, reviews and distributes all incoming mail, correspondence, and directives
  • Provides clerical support for all functions (e.g., meetings, hearings, special projects)
  • Performs general clerical tasks (e.g., answers telephones, files, orders supplies, inventory control, Xeroxes documents and files, maintains calendars and itineraries)
  • Coordinates and ensures processing of routine tasks: sets up and maintains (e.g., organizes, alphabetizes and files) correspondence, forms, reports
  • Creates new files
  • Purges records in accordance with applicable retention schedules, sorts mail, manages appointment schedules, notifies appropriate personnel of schedules, makes arrangements for meetings, and provides clerical support to other offices as assigned.
  • Performs other duties as assigned
  • Serves on committees, attends meetings, seminars, conferences and in-services training classes as required
  • Ensures work area is secure, clean and orderly
  • Provides other related clerical support as required
Qualifications
1 yr. trg. or 1 yr. exp. in secretarial science or business office applications.

For positions requiring technical terminology, applicants must also have 6 mos. trg. or 6 mos. exp. in relevant technical terminology.

Knowledge of English grammar and composition; arithmetic that includes addition, subtraction, multiplication and division; records management; business communications; administrative practices and procedures*; general office practices and procedures; agency-specific office practices and procedures*. Skill in keyboarding; business office software applications (e.g., Microsoft Office); operation of personal computer and office machines (e.g., transcribing equipment, calculators). Ability to deal with problems involving several variables within familiar context; apply principles to solve practical, everyday problems; interpret instructions in written or oral form; write routine business letters following standard procedures; complete routine forms or records; make appointments; arrange items in numerical or alphabetical order; move fingers easily to perform manual functions; assess questions and provide appropriate information or referral.

The final applicant selected for this position will be required to submit to urinalysis prior to an appointment to test for illegal drug use. The State will decline to extend a final offer of employment to any applicant with a verified positive test result.
