Position Summary
Under broad supervision from the Administrative Program Manager, the incumbent will function at the advanced journey level to provide clerical and administrative support in the admission of students and maintenance of academic records for individuals enrolled at this institution. Primary responsibilities include the maintenance of academic records, and the interpretation and application of the academic policies of the Health Sciences Center and the LSU System. Incumbent will interface with the Directors of Student Affairs, Deans and officials from other colleges and universities. Incumbent must be able to function with a high degree of confidentiality and integrity.

LSU Health Sciences Center New Orleans Registrar’s Office is seeking motivated applicants for the position of Administrative Coordinator 4.

Starting rate of pay is dependent upon applicants’ qualifications plus an additional $1 Longevity Pay for hours worked only.

Duties and Responsibilities include but are not limited to:
  • Collects, analyzes and determines the admissibility of documentation from external schools according to LSU System standards
  • Processes authorized schedule changes, grades, and biographical data changes in students’ records
  • Serves as lead worker for all duties related to residency certificates managed by the Office of the Registrar
  • Manages communications with the residency coordinators in the School of Medicine to appropriately document program completion, develops and improves processes to automate the production of the certificates, ensures proper documentation is recorded in our office, and handles internal billing for costs associated with this project.
  • Provides training and assistance to faculty on entering grades into PeopleSoft and other newly implemented procedures
  • Support faculty in their role as academic advisors through information, training sessions, and materials
  • Provides grade reports, official transcripts, and certifications of enrollment to the students and to the schools at the conclusion of a term or upon request via email.
  • Interprets and applies federal law (Family Educational Rights and Privacy Act) (FERPA)
  • Attends and coordinates meetings pertaining to updated processes and/or perspective processes
  • Assist the commencement coordinator in the preparation, proofing, and printing of the ceremony program, diploma covers and diplomas
  • Provides leadership and oversight to develop and maintain interfaces between computer data systems used by the School of Medicine and the Office of the Registrar
  • Advise students regarding the deadline for drop/adds & withdrawal grades
