Dermatology Center of Atlanta, located in the Johns Creek/Alpharetta/Duluth area, is seeking an Administrative Assistant to provide secretarial and administrative assistance to the Practice Administrator and Practice Physician Owner. The Executive Assistant's responsibilities include assisting in supporting human resource operations, including timecard approval and record keeping for payroll, assisting in IT operations, office equipment and supply management and performing a variety of complex clerical functions. This role requires the ability to maintain strict confidentiality on personnel, company and patient information.

Primary Job Responsibilities:

*Performs secretarial duties for Administrator and DCA including typing routine and confidential correspondence, drafts, reports, Administrator-related updates, such as training guides, and memos.

*Schedules appointments or HR interviews for the Administrator as needed.

*Manages employee events, prepares event communications and is the lead on tracking birthdays, special milestone events for DCA and other fun Employee Relations activities. When needed, prepares event and meeting materials.

*Drafts letters and documents; collects and analyzes important information; creates reports for review; initiates telecommunications.

*Acts as liaison between departments to facilitate communication when needed.

*Prepares for staff meetings by assisting with agenda, food ordering and records minutes of meetings.

*Maintains governance documents and files including those related to HR policies, MIPS, HR Employee Training binder, human resources and Employee Handbook.

*Protects operations by keeping information confidential.

*Manages correspondence, mail and other internal communications.

*Maintains current policies and procedures manuals as revisions are made.

*Reviews reports from payroll resource for PTO requests and compiles monthly schedules.

*Composes correspondence and disseminates to appropriate individuals. Answers phones, questions and requests.

*Processes expense sheets and invoices. Orders office supplies and manages distribution.

*Develops and updates administrative systems to make them more efficient.

*Prepares various documents and handles confidential matters in accordance with clinic rules and procedures.

*Ensures efficient equipment operation, calls for repairs, maintains equipment inventories, and evaluates new equipment and techniques.

*Performs other duties as assigned.

Education: High school diploma or equivalent. Some college preferred.

Experience: Minimum two years of administrative experience, including one year with a health care organization.

Skills:

*Excellent organizational skills and detail oriented.

*Outstanding communication skills, both verbally and written, including excellent grammar, punctuation and editing skills.

*Ability to competently use Microsoft Office, including Word, PowerPoint, Excel and Outlook/e-mail.

*Basic knowledge of human resources, including payroll.

*Experience with purchasing, budgeting and inventory control.

*Able to multi-task, handle rapidly changing projects and meet deadlines.

*Knowledge of medical terminology, medical insurance, managed care and/or a willingness to learn as it relates to the job.

*Excellent customer service skills.

*Able to work in a team environment and capable of building relationships with staff, providers and patients.

*Experienced in handling confidential information and HIPAA regulations.
