EDUCATION AND EXPERIENCE :
High School Diploma or Equivalent
Two years related experience and/or training; or equivalent combination of education and experience

High School Diplomas and college/university degrees must be obtained from an accredited program or university approved by the United States Department of Education and the Texas Education Agency.
PRIMARY PURPOSE SUMMARY :
Provide clerical and secretarial assistance for Assistant Director and Counselor. Assist students requiring information. Perform general office duties required in support of program operation and STEM initiatives. Maintain current and accurate confidential student records.
ESSENTIAL REQUIREMENTS AND RESPONSIBILITIES:
1. Confers with parents, students by phone and in person regarding recruiting applications.
2. Works with elementary and middle school counseling office to transfer records to appropriate campus.
3. Tracks and maintain recruiting and student application database and hard files.
4. Receives and inputs all information necessary for the STEM bulletin/newsletter.
5. Provides copies of STEM bulletin to all faculty and staff members.
6. Provides students, parents, and community with STEM newsletter.
7. Assists with requests for school activities for daily calendar purposes and coordinators with home campus.
8. Schedules parent and teacher conferences.
9. Schedules STEM Academy visits from outside entities.
10. Maintains all student files and records.
11. Assists counselor and students with scholarship applications and college applications.
12. Schedules field trips and transportation and maintains all field trip information.
13. Keeps records of student laptop issuance and turn-in, work orders, repair status, and insurance.
14. Notifies staff of student withdrawals and incoming students.
15. Maintain records for private school students.
16. Inputs monthly activity calendar into computer.
17. Tracks professional development of faculty and staff for grant documentation.
18. Maintains database for STEM Advisory Board.
19. Assists administration in developing business and higher education partners for internships and sponsorships.
20. Maintains database of STEM curriculum.
21. Maintains database of student portfolios.
22. Assists counselor in STEM related activities.
23. Assists with parent and community events and STEM Advisory Board meetings.
24. Assists with STEM summer camp registration and maintenance of student records for credit award.
25. Maintains confidentiality of information.
26. Reports to work on time every day.
27. Performs additional duties and other responsibilities as may be assigned.

QUALIFICATION REQUIREMENTS:
  • Successful completion of applicable skills testing through the Department of Human Resources
  • Knowledge of modern office practices, procedures, equipment and clerical techniques
  • Familiarity with Microsoft Office software (Word, Access, Excel, PowerPoint)
  • Excellent communication, organizational and interpersonal skills
  • Ability to communicate clearly and effectively, both verbally and in writing
  • Valid Texas Drivers License with driving record that meets the requirements of the District
