Job Summary:

Performs a variety of administrative support duties for various departments including Finance and Human Resources under the general supervision of the Finance Director. Performs receipt of utility and miscellaneous payments. Duties include typing, filing, processing, and distributing documents and correspondence; project-based work; escorts customers/visitors to City Hall to meeting/appointment areas; answers telephones; responds to requests for information from the public at various City locations; and provides general support and assistance to supervisory and management staff. This is an in-person position that is not eligible for remote work.

Essential Duties and Responsibilities:

  • Responds to customer inquiries and acts as main point of contact for Finance Department window during posted office hours.
  • Assists with customer service activities and assists the public with inquiries and requests for information.
  • Meets and greets customers. Leads positive customer service by example.
  • Answers phone calls and provides information for directs customers to correct department.
  • Performs various administrative support duties including but not limited to, utilizing standard office equipment: receipting payments for utilities, cemetery, community development, recreation, Ute Theater and other miscellaneous; performing data entry; photocopying, scanning, sending and distributing mail; filing; etc.
  • Orders and maintains office supply inventory for all City Hall departments, including research of current pricing and vendors.
  • Receives and sorts mail daily for all City departments.
  • Assists as needed with other Finance Office tasks (Accounts Payable, Accounts Receivable, Payroll)
  • Receives and processes payments for utilities, cemetery, community development, Recreation, Ute Theater and other miscellaneous receipts.
  • Responsible for daily cash count and reconciling receipts to customer billing records when necessary.
  • Maintains confidentiality of both utility and sales tax customer information and records.
  • Assists with preparation of communications with customers to facilitate timely and accurate payments, and maintenance of accurate records.
  • Creates and modifies documents using Microsoft Office applications.
  • Performs Accounts Payable processing. Including entry of invoices for payment, check processing and mailing of payments to vendors.
  • Maintains regular and consistent attendance.
  • Proficient in ability to multi-task and successfully manage/complete work-load amid interruptions.

Other Duties and Responsibilities:
  • Assists other departments as necessary and requested.
  • Prepares correspondence for Finance Director and for others as needed.
  • Makes bank deposits and post office drops.
  • Assists with maintenance of accounting records and files.
  • Performs other related duties and special projects as assigned.

Experience and Training:
Minimum Education: High School Diploma or equivalent.
Job Requirements: Valid Colorado Driver License or ability to obtain within 6 months of hire. Must be able to pass background screening, credit check and MVR with results that are acceptable to the City of Rifle. Must be able to maintain confidentiality of files and information.
Work Experience in Positions Similar or Related to This Job: Five years of related administrative support and/or customer service experience in a professional office setting required; or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above may be considered.

This position is full-time, with benefits including Medical, Dental, Vision, and Life insurance, as well as retirement, vacation, sick, and holiday pay. The wage for this position is $20.16-$22.22 per hour, depending on experience and qualifications. This position is open until filled.
