Location/Department: Divisional Headquarters, Office of the Divisional Commander (Hartford, CT)
Status: Non-exempt, Full-time
Hours Per Week:35
Schedule: Mon-Fri; 8:30 am – 3:30 pm
Scope & Purpose of Position: Provide diverse administrative support to the Divisional Commander & Divisional Secretary for Ministry Development, handle highly confidential correspondence, and provide support with planning and coordination of select meetings, conferences, and events.
Responsibilities:- Serve as a positive and professional representative of the Divisional Commander, the Divisional Secretary for Ministry Development, and The Salvation Army at large.
- Serve as a role model for all employees by displaying a passion for the mission and by adhering to the rules, regulations, procedures, and policies of The Salvation Army.
- Compose and send out routine correspondence. Maintain The Salvation Army’s policy regarding the handling of correspondence labeled “private, personal, confidential.”
- Create accurate written and oral communications to allow for concise presentation and review with the Divisional Commander and the Divisional Secretary for Ministry Development.
- Give input on best practices as they pertain to administrative needs around Divisional Headquarters (DHQ).
- Handle communications in the absence of the Divisional Commander (DC) or when the DC is unavailable. Communications with Territorial Headquarters’ Personnel Department shall be handled with discretion and confidentiality.
- Handle, in confidence, all matters in the performance of duties on behalf of the Divisional Commander and the Divisional Secretary for Ministry Development, including tasks that allow for interaction with other staff/departmental personnel.
- Assist with the preparation of reports and presentations.
- Maintain and coordinate schedules, calendars, and bring-up files.
- Maintain DHQ copy/fax machines in collaboration with the IT Department and in cooperation with the Divisional Secretary for Business Administration’s office.
- Maintain disposition of forces and databases, such as Annual Command Review work, officer furloughs, brief of appointments, divisional calendar, etc.
- Maintain Officer case files and file systems of the Divisional Commander’s Office.
- Perform special assignments as directed by the Divisional Commander (e.g., assist in the mail room, coordinate projects, etc.).
- Plan, organize, and implement logistics for conferences, meetings, and events as required by the Divisional Commander and the Divisional Secretary for Ministry Development. Send meeting notices and take meeting minutes for committees as requested.
- Properly receive and host all visitors to the Divisional Commander’s office.
- Must embrace, support, and reflect well on The Salvation Army’s mission and values.
- Bachelor’s degree or equivalent in relevant field preferred.
- Minimum of five years of administrative assistant experience required.
- Exceptional interpersonal skills with a strong customer service approach.
- Excellent verbal and written communication skills.
- Keen attention to detail, adaptable, organized, and demonstrated ability to manage multiple projects and tasks with grace and professionalism.
- Able to problem solve, think strategically and creatively, and is goal-oriented with good follow through.
- Ability to follow written and verbal instructions.
- Ability to work in a fast-paced, ever-changing environment.

- Must be able to accommodate a flexible schedule to accommodate tasks as assigned.
- Must complete all required trainings upon hire.
- Strong proficiency in computers and Microsoft Word, Excel, PowerPoint, and Publisher required; experience with databases preferred.
- Valid Motor Vehicle Driver’s license is required. Must obtain and maintain driving privileges per Salvation Army insurance company.
- Will respect and promote the interest of The Salvation Army. The individual is not required to embrace the tenets of faith, but he/she is required to promote and respect the mission of The Salvation Army.
