The Administrative Assistant interfaces effectively with individuals served, staff, and the public, completes assigned tasks in an organized, dependable, and efficient manner, and displays organizational skills and the ability to prioritize and follow through with tasks under minimal supervision. The Administrative Assistant is responsible for performing general office duties such as answering phone calls, keeping records, data entry, addressing customer and staff concerns.
Your experience, knowledge and great skills will support the Integration program with the following:
- Operating telephone and Voice mail systems, TDD, in a timely and welcoming manner.
- Greeting and directs individuals served as necessary.
- Checking individual’s insurance carrier, address, and telephone with our current records.
- Notifying appropriate staff of changes to insurance or address and phone.
- Notifying clinicians and medical providers of client’s arrival according to clinic policy.
- Maintaining appearance of waiting room, mail room, and office areas.
- Sorting and distributes daily mail to relevant parties.
- Assisting with processing of staff paperwork.
- Maintaining office supply inventory in a cost-effective manner.
- Maintaining organized file systems using the scanning process or paper chart.
- Responding to release of information requests in a timely manner.
- Making use of generated reports as directed.
- Assisting in trouble shooting and problem solving regarding identified discrepancies.
- Responding to current and potential referral sources in a timely manner.
- Entering/updating information in computer system at the time of referral.
- Verifying individual served insurance coverage at the time of referral.

What are we looking for in an Administrative Assistant?
- High School Diploma or GED required.
- Minimum 6 months related office experience preferred.
- Basic computer skills.
- Excellent verbal and written communication skills.
- Bilingual (English/Spanish) Required.
- Must have familiarity with Internet, word processing and email systems.
- Proficient in use of all office equipment (copier, fax, PC, printers, credit card readers and scanners).
