Administrative and Customer Support Specialist

Position Summary:
Under limited supervision and direction, performs non-routine and varied customer service, student intake & referral, and operational activities for Career Development Services. Must also be knowledgeable of office program policies and procedures. Must frequently exercise independent judgment to provide quality customer service.

Essential Functions:
Front Desk Customer Services
  • Greet students, employers and other constituents to determine service needs.
  • Ensure that all students sign in upon arrival.
  • Respond to questions and inquiries on all office programs and activities.
  • Oversee graduate and undergraduate student assistant(s) assigned to front desk coverage.
  • Receive and distribute in-coming mail and facsimiles for the office.
  • Respond to general telephone inquiries received on the office’s main phone line

Student Intake and Administrative Support
  • Direct students to appropriate services and/or staff by determining their academic major, graduation date, and CDS program of interest.
  • Explain program procedures and participant eligibility criteria as needed.
  • Distribute appropriate information materials and documents to walk-in students and guests.
  • Coordinate two-way flow of information and documents associated with various programs including cooperative education, community service, on-campus interviewing, and events.
  • Pull transcripts and other needed documents as needed and route to appropriate staff.
  • Review and enter co-op placement and other information into Handshake and other databases.
  • Follow-up with students on inclusion of all post-placement documents.
  • Produce regularly scheduled reports to assist in the tracking and management of program activity.
  • Refer students to Career Resource Center where appropriate.

Operational Support
  • Complete general clerical duties related to office operations as assigned by the Office Manager or direct supervisor.
  • Maintain supply of all printed applications, forms and materials for the office as appropriate.
  • Provide support for special events such as, but not limited to, career fairs, workshops, and open houses.
  • Complete other operational support duties as assigned.

Prerequisite Qualifications:
  • High school diploma.
  • Proficiency in MS Word, Excel, and Access.
  • Knowledge of Handshake job database.
  • Ability to act with minimal supervision.
  • Ability to make decisions based on policies, procedures, and common sense.
