Position Focus:

Under the general supervision of the Manager of the Monographic FastCat Unit, performs a broad range of manual and computer tasks associated with receipt and physical processing and preparation of monographs, including but not limited to receiving, unwanted gifts processing, shelf preparation, and record maintenance.

1. Unpacks, shelves, charges and routes incoming materials. Verifies and sorts materials in preparation for receipt. Sorts and distributes mail. Reviews incoming shipments for accuracy and completeness and resolves problems with shipments. 2. Affixes fund donor bookplates, barcodes and security devices to materials. Status tracks materials to other teams, units, departments or libraries. Labels and stamps some materials. 3. Performs scanning and digitization tasks for Acquisitions, including FileNet scanning, FileNet data entry and ILS invoice voucher record creation, and vendor-supplied electronic invoice processing. Prepares and researches outstanding Amazon invoices. 4. Creates purchase orders for approval and “add book” receipts for records loaded from vendors through an automated process or at the level of individual record retrieval. 5. Prepares items for shelf or transfer to Collections Services and Operations, including processing of shelf-ready items. 6. Enters statistics into spreadsheet or database software; may compile or tabulate statistics. 7. Performs additional related clerical functions incidental to library activities. 8. May contribute to the development of workflow and procedure documentation. 9. May provide work direction and training to student employees.

Essential Duties

1. Searches for bibliographic information in database, catalog and/or files with supplied source material. Uses computer terminal to input and retrieve records. 2. Processes and maintains records of materials received and sent out. 3. Checks, prepares and processes invoices for payment. 4. Prepares orders, receives, verifies, and sorts and records the receipt of serials and monographs. Adds issues and claims missing issues. 5. Keyboards correspondence and acknowledgement letters, forms, reports and other documents. 6. Prepares materials for microfilming. Inspects film for quality and completeness. 7. Maintains statistics. May instruct or provide work direction. 8. Performs clerical functions incidental to library activities.

Required Education and Experience

Two years of related work experience and a high school level education; or an equivalent combination of experience and education.

Required Skill/Ability 1:

Good computer hardware and software skills, including demonstrated proficiency in using multiple Microsoft Office applications (e.g. Word, Excel), email and Internet searching and online systems.

Required Skill/Ability 2:

Good interpersonal skills. Good written and oral communications skills, including ability to use electronic communications in a timely manner.

Required Skill/Ability 3:

Ability to work both independently and in a team. Ability to establish and maintain effective, supportive/productive relationships with internal/external customers. Ability to work with faculty, staff, students, and other library patrons in a culturally diverse environment.

Preferred Education, Experience and Skills:

Working knowledge of one or more European languages.

Physical Requirements

Ability to push heavy book trucks, carry heavy volumes, reach high shelves, climb ladders, work in locations with dust, and stand or sit for long periods of time.
