Typical Duties

  • Prepare disbursements to external agencies via check, electronic funds transfer or credit card.
  • Assist in maintaining the integrity of the college's accounting system and records.
  • Assist departmental staff with accounting related activities.
  • Perform a full range of clerical duties in support of the Financial Services Department. Duties may include, but are not limited to, preparing correspondence, reports, project timelines, budget and accounting transaction logs and other documentation and processing a variety of documents. May perform other clerical duties such as answering phones, data entry and file and records maintenance.
  • May coordinate meetings, appointments and/or special conferences including agendas, preparing materials, scheduling and communicating with faculty and staff.
  • Generate a variety of manual and computerized standard financial reports for the college. Assist in design and generation of reports upon request. Review reports for completeness and accuracy.
  • May update and standardize departmental processes and procedures to ensure continuity and completeness.
  • May record and/or transcribe meeting minutes to routine or special meetings.
  • May reconcile college-wide travel & mileage claims for accuracy.
  • May Monitor and maintain college-wide fuel card program.
  • Assist external auditors by providing schedules, detailed transaction descriptions and other information as required.
  • May provide back-up support for procurement, budgeting & banking positions as needed.
  • Assist in analyzing and correcting system-processing errors.
  • Adhere to college, federal and state administrative procedures, guidelines, initiatives and directives to ensure compliance with all relevant regulations affecting college operations.
  • Work with the supervisor and IT to develop and implement system-processing enhancements. Assist in analyzing and correcting system-processing errors.
  • Perform other tasks of a similar nature or level as assigned.

Qualifications

Minimum:
Any combination of education, training and experience sufficient to perform the essential functions of the job such as those listed above.

Preferred:
Associate’s degree, two (2) or more years of experience in a detail-oriented setting.
