PART-TIME POSITION at UCF FOOTBALL & BASKETBALL ARENA

The Accounting Assistant is responsible for providing general accounting support, including full-cycle A/P, A/R, event sales reporting, and payroll (coding, processing and data entry of all Spectra Food Services & Hospitality payroll). Serves as primary company contact dealing with employee related payroll inquiries, NFP compensation questions, and vendor issues. Maintains confidential payroll and proprietary accounting documents. Safeguards company assets, and provides data and fiscal support to other departments within the company. If job classification has multiple incumbents, each may be assigned a specific area of accountability (i.e. A/R, A/P, payroll), but be cross-trained to provide general accounting support, as needed.
Responsibilities

  • Prepare and process customer event invoices.
  • Review customer statements and effectively follow-up on past due invoices.
  • Code and process weekly/monthly vendor invoices.
  • Maintain vendor filing system.
  • Prepare and process NFP payment invoices daily.
  • Prepare bi-weekly tip reporting for processing and submittal to corporate office.
  • Prepare monthly employee tip reporting forms for month-end distribution.
  • Compile and process weekly employee payroll utilizing timekeeping system and ADP.
  • Maintain final check register. Assist corporate payroll in manual payroll check generation.
  • Update event-type workbooks with actual labor allocations.
  • Prepare venue event sales reports.
  • Assist in A/P, A/R, and event reporting functions, as directed by General Manager.
  • Assist operations management with company vault functions, as needed.

Qualifications

  • High school graduate or equivalent, plus minimum 2 years accounting experience.
  • Automated accounting and food service experience a plus
  • Basic working knowledge of general accounting, business and financial reporting principles and practices.
  • Consistent and reliable attention to detail, accuracy and validity.
  • Ability to multi-task in a fast-paced, high-volume, changing environment. Must work well under pressure of deadlines.
  • Excellent organizational and time management skills.
  • Ability to adhere to the highest standards of ethics, integrity, professionalism and discretion.
  • Ability and willingness to work extended hours (i.e. evenings, weekends, holidays) as required by events or business necessity.
  • Ability to develop and maintain cooperative working relationships with company and business contacts.
  • Knowledge of and skill in using computer software, including MS Word / Excel / MS Email.
  • Demonstrated ability to proactively problem-solve, provide timely feedback and share information appropriately.
  • Ability to communicate with employees, co-workers, NFP coordinators, and business contacts in a calm, courteous, factual, supportive and professional manner.
