         The Accounting Assistant position is responsible to support accounts payable and provides general office support to the Fiscal Services Department.

          Terms of Employment:
        
        - This is a full-time (1.0 FTE, 40hr week) 12-month non-exempt position at grade level 14, in the Classified Appendix schedule.
- In an effort to be as transparent as possible, please note that the starting wage/salary ranges listed in our position postings are based on a thorough analysis of COCC’s pay equity, current budget, and specific employee group contracts. Thus, these ranges are fixed as noted in the posting and non-negotiable. - Requires flexible work schedule, which may include evenings and/or weekends as well as travel throughout the district when needed.
- COCC employees must work and reside in the state of Oregon at the time their work is being performed.

        Essential Functions:
       
 
       
         Accounts Payable
        
        
          Under the guidance of the Accounting Technician:
        
        - Process data entry of invoices, expense reimbursements and travel reimbursements.
- Organize paperwork for processing, including matching purchase orders to invoice/packing slips and verifying proper authorization on all vouchers.
- Perform vendor maintenance data entry.
- Prepare purchase orders for distribution.
- File accounts payable documents.
- Act as back-up for bank reconciliation.
- Act as back-up and provide effective accounts payable coverage, when needed.
         Accounting
        
        - Provide accounting support for COCC bookstore, including daily reconciliations, ordering assistance, inventory journal entries.
- Provide back up support for Procurement Card review and administration.
- Process weekly student refunds, including verification and funding.
         Office Support
        
        - Order departmental office supplies and manage individual accounts for the College.
- Open and distribute mail for the department.
- Organization and maintenance of filing system.
- General office support to the department.

         Individuals must possess these knowledge, skills and abilities or be able to explain and demonstrate that the individual can perform the duties and responsibilities of the job, with or without reasonable accommodation, using some other combination of skills and abilities.         - Ability to understand accounts payable policies and procedures to ensure correct and proper payment of vendors in a timely manner.
- Ability to work with details to ensure accuracy of communications and data input.
- Ability to work in a complex computer environment with periodic time constraints and deadlines.
- Possess strong customer service skills and ability to interact with the college community and public.
- Ability to handle frequent interruptions and have the ability to be flexible in performing job functions.
- Ability to be organized and able to multi-task and prioritize work (under deadlines); able to work with frequent interruptions/distractions while maintaining accuracy.
- Ability to work with minimal supervision within a team environment.
- Ability to communicate effectively, both orally and in writing, using the English language with or without the use of an interpreter.
- Ability to use a computer, Banner software, and Microsoft Excel, Word, and Outlook.
- Ability to work effectively with constituents from diverse cultural backgrounds and perspectives.
        Physical Demands and Other Ergonomic Requirements:
       
 
       
        Working hours are regular, per the established work schedule. Work is performed in an ordinary office, mostly sitting. While performing the duties of this position, the employee is required to function effectively indoors in an office environment engaged in work of primarily a sedentary nature with the ability to sit or stand at workstation for extended periods. The employee is regularly required to sit, use hands and fingers, handle or feel objects, tools or controls, reach with hands and arms and requires near visual acuity to write, read written materials and computer screens, and sufficient hearing and speech ability for ordinary telephonic conversations. Occasional lifting under ten pounds for 15 percent of the time. Computer screen is used more than 75 percent of the time. All individuals are required to be able to perform the essential functions with or without reasonable accommodation.

        Minimum Qualifications:
       
 
       - High School diploma or GED.
- Two-years’ comprehensive office experience, employing skills in organization, filing, data entry and computer-based technology.
        Preferred Qualifications:
       
 
       - Experience with accounts payable and/or bookkeeping.
- Work experience in higher education or public entity.
- Experience with Banner software.
